The Software Asset Management (SAM) Specialist is responsible for ensuring effective management of software licenses, compliance, and vendor relationships within the Vendor Management organization. The position involves collaboration with various internal and external teams in regards to tracking software assets, maintaining compliance, and implementing best practices for software asset management, including procedures for tracking assets within a Software Asset Management tool. The individual will assist in forming procurement strategies that optimize technology spend across the organization.
The position establishes and implements software acquisition, protection, maintenance and renewal standards and processes. Investigates available software products; evaluates and recommends products based on user requirements. Coordinates with the procurement function to interview, select and negotiate with software vendors in order to purchase the appropriate equipment at the lowest cost. Reviews licenses and / or contracts to ensure that software is covered by the contract and properly documented.
The candidate must have excellent analytical skills, as well as expert knowledge of software license metrics, product use rights, and preferred experience with a SAM tool such as USU License Management or Service Now SAM Pro.
Responsibilities :
- Analyze the company’s software asset data and create reports that drive compliance, cost savings, cost avoidance, and harvesting strategies.
- Reconcile license entitlements with discovered installations or demand data to determine effective license positions.
- Analyze software usage reports and recommend remediation plans for underutilized or over utilized non-compliant positions.
- Develop, or evaluate existing best practice strategies around acquisition, deployment, and retirement of software assets by recommending and creating policies, processes, and procedures to support end-to-end software asset lifecycle management.
- Maintain an up-to-date inventory of all software assets within the organization, including versions and installations for each application.
- Have specialized knowledge of key vendors such as Microsoft, Oracle, SAP, IBM, Vmware, Adobe and other high value vendors used by HII.
- Conduct regular self-audits and annual True Ups to reconcile license entitlements and direct remediation efforts to limit exposure.
- Manage and address audits in accordance with the company’s timelines and labor resources, including analysis, reporting, and documentation to support both HII and the vendor’s request, while ensuring HII’s best interest and outcome.
- Use the company’s SAM tools to develop dashboards and ongoing compliance reporting on core software vendors such as Microsoft, Adobe, and others.
- Support Hardware Asset Management team as needed (i.e. tracking, compliance, procedures, and best practices).
