About the Role:
The Office Administrator at Next Day Access will provide essential administrative support to ensure smooth daily operations. This role involves managing office tasks, coordinating schedules, handling customer inquiries, and assisting with documentation and reporting. The ideal candidate is highly organized, detail-oriented, and skilled in communication, with the ability to multitask and support various departments efficiently. The Office Administrator will serve as key point of contact between customers, vendors, and internal teams, ensuring professionalism and efficiency in all interactions.
Key Responsibilities:
- Office Administration & Support: Manage office operations, including answering phones, responding to emails, and directing inquiries to the appropriate team members.
- Customer Interaction: Provide excellent customer service by handling inquiries, scheduling appointments, and following up on service requests. Process customer orders, assist with billing inquiries, and maintain accurate records of transactions. Communicate effectively with clients, ensuring a positive experience from initial contact to follow-up.
- Scheduling & Coordination: Maintain calendars and schedules for technicians, ensuring efficient job assignments and appointments. Coordinate meetings, training sessions, and company events, including preparing agendas and taking minutes. Assist with logistics planning, including travel arrangements for staff as needed.
- Documentation, Reporting and Team Collaboration: Prepare reports, invoices, and other business documents with accuracy and professionalism. Work closely with the sales and service teams to support the company goals and ensure smooth workflow. Maintain organized records and filing systems, including digital and physical documentation. Assist in inventory tracking, ordering office supplies, and managing office equipment maintenance. Ensure a clean, professional, and welcoming office environment for employees and visitors.
What We’re Looking For:

- Education & Experience: High school diploma or GED required; Associate’s degree in Business Administration or a related field is a plus.
- Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- Communication: Outstanding verbal and written communication skills.
- Adaptability: Ability to work independently in a fast-paced environment and solve problems effectively.
- Customer Service Skills: Strong customer service mindset, with the ability to handle inquiries professionally and effectively.
