Executive Assistant to the CEO
Next Generation Management and Accounting Services is seeking a highly skilled and detail-oriented Executive Assistant to provide comprehensive support to our CEO. In this crucial role, you will manage a variety of administrative tasks to ensure the CEO’s office operates smoothly and efficiently. You will play an essential part in supporting the CEO’s day-to-day activities, assisting with business functions, and contributing to strategic initiatives. The ideal candidate will be proactive, adaptable, and capable of multitasking effectively in a fast-paced environment. A strong understanding of the real estate industry, along with proficiency in bookkeeping and QuickBooks, is essential.

Salary: $20 - $24
Schedule: Monday through Friday (with a 1 hour lunch)
PTO: 40 hours of sick PTO after the 90-day probation period. 40 hours of vacation PTO after one year and 7 paid federal holidays.
Key Responsibilities:
- Provide high-level administrative support to the CEO, including managing calendars, scheduling appointments, organizing meetings, and coordinating travel arrangements.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Assist with real estate-related activities, including research, property listings, and client communications.
- Maintain accurate financial records, track expenses, and prepare invoices using QuickBooks.
- Prepare financial reports, statements, and other relevant documents to assist in business decision-making.
- Handle confidential information with professionalism and discretion.
- Prepare reports, presentations, and other documents as requested by the CEO.
- Offer general office support and assist with day-to-day tasks as needed.
- Occasionally visit properties in West Palm Beach, FL, as required.
- Be flexible to work after hours and weekends when necessary.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role, ideally supporting senior leadership, with experience in real estate and bookkeeping.
- Strong knowledge of the real estate industry and related administrative processes.
- Proficiency in QuickBooks and experience with bookkeeping functions.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Excellent organizational, time management, and communication skills.
- Exceptional attention to detail and the ability to anticipate the needs of the CEO.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
- Ability to work independently with minimal supervision while also being an effective team player.
- High level of professionalism and discretion in handling sensitive information.
