Job Summary / Objective : As an Operations Coordinator, you will support the day-to-day operations within a region or BU, focusing on improving efficiency and managing workflows across multiple areas. In addition to overseeing supply chain processes and fleet logistics, you will take on administrative responsibilities, coordinate office operations, and assist in managing project initiatives. Your role will require strong organizational, problem-solving, and communication skills to ensure smooth operations across departments and contribute to the achievement of company goals.

Primary Responsibilities :

  • Operations Coordination :

Coordinate and monitor supply chain activities, including procurement, inventory management, and order fulfillment.

  • Track shipments and ensure timely delivery of goods, resolving any issues with vendors or transportation providers.
  • Maintain accurate records of inventory levels, shipments, and transactions using ERP or inventory management systems.
  • Analyze supply chain data to identify inefficiencies, recommend improvements, and implement cost-saving measures.
  • Fleet Management :
  • Maintain the scheduling, routing, and maintenance of company vehicles to ensure efficient and safe operations.

  • Monitor fleet performance metrics such as fuel consumption, vehicle utilization, and downtime.
  • Coordinate regular inspections and maintenance to ensure compliance with safety standards and regulatory requirements.
  • Work closely with drivers and logistics teams to address operational challenges and optimize routes.
  • Maintain up-to-date records of vehicle registrations, insurance, and other necessary documentation.
  • Administrative Support :
  • Perform day-to-day administrative tasks, including office management duties such as maintaining office supplies, managing office vendors, and overseeing general office cleanliness and organization.

  • Support calendar management, scheduling meetings, and coordinating team events or company-wide functions.
  • Assist with document preparation, presentations, and reports for management meetings.
  • Act as a liaison between departments to ensure seamless communication and execution of projects and operational goals.
  • Project Coordination :
  • Support and assist with various operational projects, ensuring deadlines, objectives, and milestones are met.

  • Help organize project timelines, assign tasks, and track progress to ensure smooth project execution.
  • Coordinate with cross-functional teams to gather input, update stakeholders, and ensure alignment with project goals.
  • Assist with data collection and analysis to evaluate project success and identify areas for improvement.
  • Vendor and Stakeholder Communication :
  • Communicate effectively with vendors, suppliers, and internal teams to address operational issues and ensure timely and accurate deliveries.

  • Work closely with other departments to ensure that operational needs are aligned with company objectives.
  • Compliance and Policy Adherence :
  • Ensure compliance with company policies, safety protocols, and industry regulations in both supply chain operations and office activities.

  • Assist in auditing processes and documentation to ensure adherence to internal and external standards.
  • Minimum Education and Experience :

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field (or equivalent experience).
  • 3 years of experience in operations coordination or related fields.
  • Proficiency in supply chain and fleet management software, ERP systems, and MS Office (Excel, Word, PowerPoint).
  • Strong data analysis capabilities with attention to detail and problem-solving skills.
  • Previous project coordination or administrative experience in a fast-paced environment.
