Job Summary:
We are seeking a high-energy and personable Front Desk Receptionist to join our team on a part-time basis. In this role, you will be the face of our company, greeting clients and visitors as they arrive, answering phone calls, managing emails, and performing various administrative duties. This position is perfect for someone with strong organizational skills, a commitment to customer service excellence, and the flexibility to support the office's day-to-day operations. There is potential for this role to transition to a full-time position based on performance and attendance.
Essential Functions:
- Welcome and greet visitors, ensuring a professional and friendly first impression.
- Direct clients and walk-ins to appropriate staff members or departments.
- Answer and route incoming phone calls; respond to emails and inquiries promptly and professionally.
- Scan, organize, and maintain electronic and paper files.
- Assist with scheduling and coordinating meetings, appointments, and office events.
- Prepare, monitor, and distribute daily, weekly, and monthly reports for management and ownership.
- Perform light clerical duties, including data entry, filing, proofreading documents, and running audits.
- Handle incoming and outgoing mail and packages, including operating mail-processing equipment.
- Run errands on behalf of the office when necessary.
- Provide additional support to other departments or management as needed.
Skills & Qualifications:
- Strong interpersonal and communication skills (both verbal and written).
- Highly organized with excellent attention to detail and the ability to multitask in a fast-paced environment.
- Comfortable adapting to changing priorities and handling various tasks efficiently.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel) and basic Internet navigation.
- Previous administrative or office experience preferred.
- Demonstrates professionalism, discretion, and a positive attitude at all times.
Work Environment & Physical Requirements:
- Office environment with moderate noise levels.
- High level of interaction with external and internal clients.
- Must be able to remain stationary for extended periods (8 hours/day).
- Daily movements include standing, walking, typing, and communicating via email/phone.
Schedule & Work Hours:
- Part-time: Monday to Thursday, 9:00 AM - 5:00 PM (1-hour unpaid lunch).
- Approximately 28 hours per week.
- Flexibility to work additional hours as needed based on office needs.
Travel Requirements:
- Occasional travel to satellite locations within the DFW area to assist with administrative needs, such as supporting VP/Manager on interview days or running errands (e.g., groceries, office supplies).
