About the Company/Role: well established boutique private equity firm with exceptional longevity across their staff. After substantial successful fundraising, the firm is growing and excited to add to staff. You'll join a super collaborative admin team that includes two other EAs (who are wonderful and welcoming) and the firm has an office coordinator/ receptionist handling the first line of general office needs. Office presence is consistent across the whole company with Mon- Thurs in office, Fridays are remote. Hours 9-5:30. Great work/ life balance without after hours requests typically. * SEEKING EXPERIENCED EXECUTIVE ASSISTANTS WITH ALTERNATIVE INVESTMENTS & FINANCE INDUSTRY EXPERIENCE
What you'll do: you’ll support 3 Partners with meeting planning, multi-party scheduling, travel coordination via their travel agent, expense reporting, preparation of PowerPoint presentations, and help with other firm needs, such as event planning, and coordination of IT needs with their IT consulting firm (they have 24/7 external IT support plus in office support from IT a couple days per week). There are various hospitality needs that arise in this 30- person (and growing) office, so a hospitality mindset and pride in service is a must; you’ll ensure lunches are ordered and set up for in house meetings and they all have a no- ego approach to backing one another up and helping out- no queen bees here!
You have:
- Approximately 5 years relevant EA experience in a fast-paced role supporting discerning senior executives, ideally from alternative investments, finance or consulting (currently they are not considering backgrounds from other unrelated industries)
- Expertise with event planning, from budgeting, vendor coordination, menu and venue selection, and execution
- Extensive travel and expense management
- MS Office proficiency, and PowerPoint is a must have!
- A hospitality mindset, happy to assist with general office needs and to back up your colleagues
- Ability to reliably be in office 4 days per week, 9-5:30
- BA preferred- but may be flexible dependent upon experience.
