Job Summary
The Front Desk Coordinator is responsible for providing outstanding customer service with a positive attitude and a smile in a high-volume, fast –paced environment; managing incoming telephone calls, corporate inquiries, visitor traffic and team administrative duties. This position is critical to the high level of customer service that Nexus provides to all. This individual is the first person that any client or applicant will interact with. This position is responsible for providing the front face for Nexus as an organization.
Essential Job Functions
- Provide initial point of contact for Nexus in a professional, cordial and efficient manner
- Manage high-volume communications traffic via multi-line phone system and email
- Manage high volume visitor traffic and deliveries in accordance with security guidelines
- Greets visitors in a prompt, courteous, and professional manner
- Accurately direct calls / messages to the appropriate person
- Maintain visitor registration check in process and visitor badges
- Administrative projects including communications, booking meetings, organizing information, filing and other administrative assistant projects
- Be a ‘go to’ source of knowledge, information and assistance for Nexus Team Members in pointing them to the appropriate person within the company
- Maintain confidentiality of sensitive information
- Update, maintain contacts and additional online lists
- Prepare, stock and set up meeting rooms, including food and drink orders, arrangements and services
- Clean and straighten meeting rooms after events
- Manage incoming and outgoing mail and deliveries
- Ensure that reception area is clean and neat
- Supports Nexus Intake and Fulfillment operations
- Supports Human Resources as requested
- Provides clerical and other duties as requested
- Maintain image of company by example
- Perform other duties as assigned
Requirements
Knowledge and Abilities Requirements:
Ability to use Microsoft products; Word, Excel, PowerPoint, Outlook
Basic office equipment experience preferred (copier, fax, shipping and receiving tools)
Written and verbal communication skills with a demonstrated ability to deliver excellent customer service
Ability to multi-task and quickly adapt in a fast paced environment
Strong organizational skills
Attention to detail
Education and Experience:
High school diploma or equivalent
3-5 years directly related experience as a receptionist in a professional setting
License and Certification: None
Driving Essential: No
Position Demands:
This position requires sitting, bending, stooping for up to 8 hours per day in an office setting. Ability to lift and move objects weighing up to 10 lbs. Must have excellent communication skills – both orally and written. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Must be able to operate a computer and other office productivity machinery such as a calculator, copy machine, printer, etc. The person in this position frequently communicates with guests, team members, and vendors and must be able to exchange accurate information.
