Title: CX Associate
STATUS: Full time, hourly (non-exempt)

SUMMARY: Serve as the primary interface for client communications, managing workflow and deadlines, processing mail and deposits, answering phones and emails, preparing documents and files, and assisting the Firm with client meetings, scheduling, and meals.
SUPERVISION: Works under the direct supervision of the Client Experience (CX) Manager.
POSITION DETAILS | ASSOCIATES
Communication with Clients
- Act as the primary office reception to greet visitors with professionalism and enthusiasm, answer the phones timely and kindly, provide cross-office coverage for phone support
- Provide well written responses and friendly verbal communication internally
- Prepares and/or generates routine correspondence, letters, memoranda, forms, reports, labels for files, and other documents
Manages Client Care Projects
- Assist with the completion and follow through of client care requests
- Complete tasks within the CX Work Queue, including assigning projects, processing, and sending tax returns, and e-filing
- Gather and record new client information, set up new clients in systems, manage workflow assigned via client service level agreements, accept and process client payments
- Maintain client files, scan documents to electronic filing systems, organize confidential client information, set up new clients in PCS
- Assist with client or Firm administrative projects, as needed, or directed
Office Administrative Duties
- Monitor and order office supplies, manage the front office of the assigned work location, ensure the office is neat, organized, stocked and decorated appropriately
- Assist with facility requests and coordinating office maintenance
- Order and/or prepare staff lunches, manage kitchen snacks, food, beverages and kitchen supplies
Actively engages in the work of the Firm
- Participates in Nichols events, training, staff meetings and town hall sessions, active presence on Teams with cameras on
- Engages in cross training, willing to assist with functional areas of the Firm such as marketing, social media, human resources, billing, etc. as requested
Knowledge of Microsoft operating systems and applications (Excel, Word, Outlook)
- Ability to learn new systems quickly
- Willingness to learn and become a “resident expert” on Nichols’ systems, such as PCS, Go File Room, etc.
Demonstrates understanding and clarity of Nichols structure, values, mission, and focus
Other duties as assigned
EDUCATION AND EXPERIENCE:
Associate: A minimum of two years of experience in a customer service or administrative assistant role
SALARY: $15-$25 per hour, non-exempt
