Position Summary:
The Operations Coordinator will report to the Manager of Operations based in Las Vegas, Nevada, and be responsible for conducting the booking of travel-related items for the Nickel Group employees, supporting various details, reviewing and verifying the company timecards and schedules to ensure accuracy for the Accounting and Human Resource divisions, and conducting audits of administrative items, such as expense reporting, travel history, operational support etc.
The Operations Coordinator will work effectively with all stakeholders and must understand the importance of building and maintaining relationships, both within the company and with clients. This is a cross-functional role that partners closely with other operations teams.
Essential Duties and Responsibilities:
- Conduct the booking of, and at times, scheduling verification or conduct
- Timely and detailed project tracking for events, details, and travel support
- Schedule management and ADP support
- Travel booking support (flights, hotels, credit card authorizations, rental car coordination, etc.)
- Audits of employee travel bookings and expenses
- Audits of timecards and schedules to ensure accurate information and accountability within divisions
- Employee bios and repository support
- Assist with day-to-day administrative projects and tasks, such as metrics tracking, travel coordination, expense reporting support, and information tracking
- Follow company procedures and processes as they relate to industry best practices and handling of confidential information
- Develop and maintain strong relationships with other business partners to effectively support their needs
- Must be flexible to work within a team rotational schedule: able to work days, evenings, weekends, holidays, and overtime as needed
Required Skills and Abilities:
- Ability to work in a team environment, as well as individually and unsupervised
- Capable of working in a dynamic environment
- Excellent written and verbal communication skills, as well as the ability to interact and communicate effectively with clients and management team
- Must be able to pass a background, driving record check and any other pre-employment requirement as directed by specific clients
- Ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment
- Ability to organize and lead meetings, prepare reports, and document project progress
- Effective time management skills
- Strong analytical and problem-solving
- Ability to stay organized and manage multiple aspects of projects simultaneously
- Proficiency with project management tools like MS Project, Google Drive, Asana, etc.
- Proficiency in Google Suite (Docs, Slides, Sheets, etc.)
- Familiarity with project management software (e.g., Asana, Smartsheet, etc.)
Education and Qualifications:
- High School Diploma or GED
- Preferably 3 years’ of project management experience
- Military, law enforcement, or public/private sector security organization experience is a plus
- Ability to hold a work card in the state of Nevada
