The Front Office Coordinator is responsible for welcoming clients, answering phone calls, and ensuring first-class service to all guests. This role involves providing general administrative assistance including completing tasks and errands for management, assisting with projects and initiatives and providing support for events and meetings.
Successful candidates must be reliable, have the ability to create a rapport with clients and other professionals, and have a positive and professional demeanor.
Responsibilities:
- Greet clients and visitors.
- Answer, screen, and transfer inbound calls.
- Manage the front office of the business including handling mail and shipping as needed, ensuring office equipment is functional and all supplies are stocked.
- Schedule client meetings and assist with preparations and follow up tasks as needed.
- Provide support to the Financial Planners and Client Service teams.
- Maintain data in the CRM and other programs.
- Maintain the shared calendar and work with clients to schedule/reschedule meetings
- Oversee office vendors and general office maintenance activities
- Manage client ambassador activities.

Qualifications:
- Associate's degree or 1 years of relevant experience is preferred.
- Proficient in Microsoft Word, Excel, and Outlook.
- CRM Experience Preferred
Hours: Monday - Thursday 8:00 a.m. to 5:30 p.m., Friday 8:00 a.m. to 3:00 p.m.
