Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong leadership skills and have a proven track record in office management. This role is essential for ensuring that our administrative functions run smoothly and efficiently, allowing our team to focus on delivering exceptional service.
Responsibilities:
- Manage daily office operations to ensure efficiency and productivity.
- Reconcile bank accounts every morning, ensuring accurate financial records.
- Process payments for vehicles, including payoff of trade-in vehicles and floor-plan vehicles.
- Oversee and manage floor-plan accounts and ensure compliance with financing terms.
- Coordinate vehicle reconditioning payments and maintain accurate records.
- Handle accounts payable and receivable, ensuring timely and accurate processing.
- Support the accounting team with end-of-month closing activities.
- Maintain accurate inventory records for vehicles and assist with vehicle titling and registration processes.
- Order office supplies and manage vendor relationships to support dealership needs.
- Create and distribute reports to management as needed.
- Provide administrative support to the sales, service, and finance departments.
- Ensure compliance with all dealership policies and procedures.
Qualifications:
- Proficiency in Dealertrack !!
- Previous experience in office management, accounting, or administrative roles, preferably in the automotive industry.
- Strong understanding of bank reconciliation, vehicle payoffs, and floor-plan financing.
- Excellent organizational skills and attention to detail.
- Strong interpersonal and communication skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- High school diploma or equivalent required; associate or bachelor’s degree in business administration or accounting preferred.
