ESSENTIAL DUTIES AND RESPONSIBILITIES (included but are not limited to):
- Greet and assist visitors in a friendly and courteous manner, providing information about the organization’s programs, services and mission
- Answer and direct phone calls, ensuring callers are connected to the appropriate department or staff member
- Handle general enquiries via email or in person, providing accurate information about the organization’s initiatives and events
- Maintain an organized and welcoming reception area that reflects the nonprofit’s values and mission
- Assist in scheduling meetings, appointments, and conference room reservations
- Process incoming and outgoing maul, packages and deliveries
- Maintain inventory of office supplies and order as needed
- Ensure confidentiality and professionalism in all interactions with clients, staff, and the public
- Other assignments as needed
- High school diploma or equivalent; additional training or certification in office administration or nonprofit management is a plus
- Previous experience as a receptionist or administrative assistant, ideally within a nonprofit or community-based setting
- Strong passion for the nonprofit sector and commitment to the organization’s mission
- Excellent written and verbal communication skills with the ability to engage with diverse populations
- Organizational skills with the ability to handle multiple tasks and prioritize effectively
- Proficiency in MS Office Suite (Word, Excel, Outlook) and comfortable with office technology (multi-line phone system, fax etc)
- Ability to work independently and as a part of a team
- A warm, friendly demeanor with an understanding of the importance of creating a positive, welcoming environment
- Office environment with standard working hours 37.5 per week
- May involve light lifting, such as handling supplies and materials for events
