Accountabilities
Distinguished Events:
- Oversee and deliver key aspects of the NMDP gala event series, including guest coordination, vendor management, program development, and volunteer oversight.
- Collaborate with external vendors and partners to enhance event experiences and optimize logistical processes.
- Act as a primary on-site contact during events, managing setup, maintaining schedules, and resolving potential issues in real-time to ensure flawless execution.
- Partner with cross-functional teams to plan and execute events seamlessly, addressing all stages from preparation to post-event evaluation.
- Support recruitment and training of event volunteers, ensuring clear communication of roles and responsibilities.
- Monitor event progress, budgets and timelines in collaboration with your supervisor to ensure financial and operational objectives are met or exceeded.
- Manage event resources effectively, prioritizing cost efficiency and optimal allocation.
- Assist with private cultivation, high-profile fundraising, and stewardship events aimed at engaging top supporters and corporate partners (as needed).
- Collaborate with the Stewardship team to share ideas and identify opportunities for innovative, personalized experiences that foster relationship growth and inspire philanthropy.
PREFERRED QUALIFICATIONS:
- Proven experience in planning and executing events of varying sizes and formats.
- Forward- thinking approach, consistently planning ahead to balance immediate priorities with long-term event goals.
- Strong project management skills, including expertise in creating and managing timelines, budgets, project plans, and contracts.
- Excellent communication and collaboration skills, engaging effectively with diverse stakeholders, including team members, vendors, and event participants, to ensure clear expectations and successful outcomes.
- Familiarity with current best practices for creating engaging event experiences for supporters and sponsors.
- Proficiency with tools such as Microsoft Excel, project management platforms (e.g., Asana or similar), fundraising software (e.g., Classy, OneCause, Donor Drive), and database systems (e.g., Raiser’s Edge, Salesforce) are preferred.
- Effectively plan and execute multiple projects from initiation to completion.
- Anticipate potential challenges or needs and proactively implement solutions to ensure seamless event execution.
- Adapt quickly to dynamic environments, demonstrating creativity and resourcefulness in addressing shifting circumstances.
- Prioritize and manage multiple tasks, deadlines, and competing priorities with attention to detail.
- Work independently or collaboratively as part of a team to achieve and exceed organizational goals.
- Actively participate as a member of NMDP Foundation’s team to support the accomplishment of overarching objectives.
- Travel as needed for NMDP gala events and occasional team meetings at NMDP World Headquarters.
- Work occasional evenings and weekends.
- Perform additional responsibilities as assigned.
- Bachelor’s degree or comparable experience required. A minimum of 3 years of relevant professional experience may substitute for the degree requirement.
- 3 years of demonstrated experience managing aspects of event planning and execution, ideally in a fundraising or nonprofit setting.
- Familiarity with NMDP’s life-saving mission and an understanding of the role philanthropy plays in the ability to serve patients.
- Awareness of the various giving channels individuals and organizations use to support foundations or nonprofit organizations.
