Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO. This role is crucial in ensuring the smooth operation of the executive office, managing schedules, and facilitating communication across departments. The ideal candidate will possess exceptional clerical and organizational skills, with a strong ability to manage multiple tasks efficiently.
Duties
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents for meetings, ensuring all materials are available and up-to-date.
- Handle correspondence on behalf of the CEO, including emails and phone calls, while maintaining confidentiality.
- Utilize Google Suite and Microsoft Office to create presentations, reports, and other documents as needed.
- Maintain an organized filing system for both physical and digital documents.
- Assist in preparing agendas for meetings and taking minutes as required.
- Coordinate with various departments to ensure timely communication and follow-up on action items.
- Provide exceptional customer service when interacting with clients, stakeholders, and team members.
- Manage DocuSign processes for document approvals and signatures.
- Support additional administrative tasks as assigned by the CEO.
Requirements
- Proficiency in Google Suite (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
- Strong experience with calendar management tools such as Outlook Calendar.
- Excellent organizational skills with a keen attention to detail.
- Ability to type efficiently and accurately for documentation purposes.
- Strong clerical skills with experience in managing files and records effectively.
- Exceptional customer service skills with a professional demeanor in all interactions.
- Previous experience supporting senior executives or in an administrative role is preferred.
- Ability to handle sensitive information with discretion and maintain confidentiality at all times.
