Description
Summary: Operates Elevate multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties. Provides office support to the entire organization by handling information requests, quality management, and performing clerical functions.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Answers incoming telephone calls, determines the purpose of callers, and forwards calls to appropriate personnel or departments.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers inquiries and obtains information for the general public, customers, visitors, and other interested parties.
- Provides information regarding activities conducted at establishments; location of departments, offices, and employees within the organization.
- Greets visitors and contacts the appropriate person to escort them throughout the building.
- Monitors visitor access and enforces sign-in procedures.
- Receives payments for services and products.
- Performs quality control functions by researching, compiling, and tying statistical reports for underwriting and management.
- Receives street mail, overnight packages, and agent mail delivered to the Home Office, and routes to the Mail center for proper delivery.
- Performs other clerical duties as needed.
Qualifications
Education and/or Experience: Associate’s degree (A.A.) or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
Required Knowledge and Skills:
- Customer Service - responds promptly to customer needs; accepts customer feedback to improve service; manages difficult situations; responds to requests for service and assistance; meets commitments.
- Quality Management - looks for ways to improve and promote quality; demonstrates accuracy and thoroughness.
- Appearance must be neat and professional as the position will require daily contact with outside customers and business associates.
- Ability to effectively utilize computer systems required for essential job functions, including knowledge of internet software, spreadsheet software, and word processing software tools.
- Excellent customer service orientation, time management, and the ability to work effectively as a part of a team are essential.
Physical Requirements: The work environment is typical of an office setting, where the employee may occasionally lift and/or move up to 25 pounds.
The noise level in the work environment is usually moderate.
