We are seeking a highly organized and proactive Senior Executive Assistant to join our team in Utah. You will provide high-level support to our CEO, CFO, and Head of Corporate Development. This role goes beyond traditional administrative tasks, incorporating project management, investor relations, and executive operations to ensure seamless business execution. You will be a strategic partner, managing complex schedules, coordinating high-impact meetings, and driving operational efficiency across leadership functions.
\n- Manage complex calendars, scheduling standing and ad hoc meetings across multiple time zones.
- Plan and coordinate external meetings with investors, board members, and key stakeholders.
- Oversee travel arrangements, ensuring seamless itineraries for executives.
- Act as a liaison between executives and internal/external contacts, handling sensitive information with discretion.
- Assist in investor communications, ensuring timely updates and accurate documentation.
- Support the preparation of quarterly business reviews (QBRs), board meetings, and other key executive reporting.
- Manage and track follow-ups from investor and board meetings.
- Drive execution of strategic projects, ensuring alignment with business objectives.
- Oversee and improve the operating cadence for executive leadership, including QBRs, board meetings, and leadership check-ins.
- Maintain key documentation, ensuring materials are updated and distributed efficiently.
- Handle high-priority correspondence, emails, and executive communications.
- Prepare executive briefs, presentations, and reports as needed.
- Maintain organization of key files, records, and operational workflows.
- This is a hybrid role requiring onsite work 2–3 days per week at our Salt Lake City and/or Orem office.
- 8 years of experience as an Executive Assistant, Chief of Staff, or in a project management role supporting senior executives.
- Exceptional organizational and time management skills with the ability to multitask.
- Strong understanding of investor relations, corporate communications, and executive operations.
- Proficiency in Microsoft Office, Google Workspace, and project management tools (Asana, Notion, or similar).
- Excellent written and verbal communication skills.
- Ability to work independently in a fast-paced, high-stakes environment.
- Discretion and professionalism in handling confidential information.
