Job Overview
The Administrative Assistant will provide comprehensive support to a man in his 50s with an energy limiting condition.. The ideal candidate will be someone who has the ability to identify and resolve issues and challenges, is forward-thinking, and is able to prioritize on a consistent basis. Must be able to work independently and be strong on compassion, patience, empathy, and positive communication.
Responsibilities
1. Overview: together with the client, develop an overview of client's requirements, offer solutions, prioritize, and execute them calmly and efficiently.
2. Administration and Paperwork
- Opening mail, deciding what is needed
- Filing and organizing
- Ordering and returns,
- Managing electronic records
- Verifying that legal documents (estate planning documents, tax info, registrations, etc) are in place and up to date.
- Helping with phone calls, correspondence, and emails
3. Financial
- Bill pay
- Organizing tax documentation to take to accountant
- Setting up meetings with accountant or investment advisor
4. Medical
- Keeping medical records in order
- Scheduling medical appts
- Keeping supplements on hand and updating and printing supplement logs
5. Home, cars, and appliances
- Keeping up to date on practical, legal, and governmental requirements
- Scheduling maintenance
6. Tech support (computer, audio video, other)
- Handling basic issues on site
- Hiring technicians as needed
7. Other
- Occasional errands
- Household organization (in cooperation with caregiver)
Skills
- Patience and empathy: Ability to work effectively and patiently with a client with chronic illness whose energy is very low. Quiet demeanor and low intensity are necessary.
- Organizational Skills: Ability to manage multiple tasks and prioritize workload effectively.
- Experience: Background as a personal executive assistant or similar role.
- Communication Skills: Excellent verbal and written communication.
- Discretion: Discrete in maintaining confidentiality and handling sensitive information.
- Flexibility: Ability to adapt to changing priorities and needs.
- Attention to Detail: Meticulous in managing details and ensuring accuracy.
- Problem-Solving: Proactive in identifying and resolving issues.
- Techno Savvy: Comfortable with technology and proficient in using various software applications like Word and Excel. Computer literate.
- Valid driver’s license and clean driving record.

Job Type: Part-time
Pay: $25.00 - $35.00 per hour
Expected hours: 10 – 15 per week
