The Portfolio Maintenance Supervisor is responsible for overseeing the operational efficiency of properties within the assigned portfolio. This role ensures that all units are turned on time, work orders are processed efficiently, and properties are consistently well-maintained. The supervisor will manage a team of Building Maintenance Superintendents, ensuring they are adequately supported and follow best practices in maintenance, repairs, and customer service. The Portfolio Maintenance Supervisor will ensure that each assigned housing community is maintained to the highest standards, meeting both operational and compliance requirements.

The Portfolio Maintenance Supervisor is responsible for overseeing the operational efficiency of properties within the assigned portfolio. The supervisor will manage a team of Building Maintenance Superintendents, ensuring they are adequately supported and follow best practices in maintenance, repairs, and customer service. The Portfolio Maintenance Supervisor will ensure that each assigned housing community is maintained to the highest standards, meeting both operational and compliance requirements.
Essential Functions
- Oversee and supervise Building Maintenance Superintendents responsible for managing the maintenance operations of properties with 500 living units, or multiple properties with a combined total of 500 units.
- Monitor the timely and efficient turnaround of vacant units, ensuring they are ready for occupancy within agreed timelines.
- Ensure the processing and completion of work orders in a timely manner, monitoring the work order system for delays and resolving any issues that may arise.
- Manage the maintenance staff’s workload by planning and scheduling work assignments, ensuring adequate resources are allocated, and tasks are completed to satisfaction.
- Supervise and support maintenance staff in complex repair, maintenance, and replacement projects. Provide guidance and mentorship to ensure the highest quality of service is provided.
- Conduct regular inspections of completed maintenance tasks and work orders to ensure compliance with safety regulations and company standards.
- Assist in managing the shop budget, including controlling expenses related to materials, labor, and tools, and maintaining inventory of necessary supplies.
- Develop and maintain effective relationships with tenants, property management, and other stakeholders to ensure all maintenance-related concerns are addressed in a timely manner.
- Conduct periodic emergency duties as needed, following established protocols for after-hours and urgent repairs.
- Ensure compliance with all safety regulations and company policies, and contribute to a positive team culture with a focus on continuous improvement.
- Regularly report to upper management on the status of property conditions, work orders, and any potential issues that may require attention.
Education, Experience, and Licenses
- High school diploma or equivalent; additional certifications or training in maintenance or property management preferred.
- At least 3 years of experience in building maintenance, with 1-2 years in a supervisory role managing a team.
- Strong knowledge of building systems and maintenance procedures, including HVAC, plumbing, electrical, and general repairs.
- Ability to manage multiple priorities and work in a fast-paced environment.
- Strong leadership skills with the ability to motivate, train, and evaluate maintenance staff.
- Excellent communication skills, both verbal and written.
- Strong organizational skills with the ability to track and manage multiple work orders, projects, and deadlines.
- Knowledge of property management software and maintenance management systems is a plus.
- Availability for emergency duties and after-hours support as needed.
- Building Systems and Maintenance Procedures: In-depth knowledge of building systems, including HVAC, plumbing, electrical systems, and general repairs. Understanding of building maintenance practices and safety protocols.
- Property Management: Knowledge of property management operations, including tenant relations, maintenance management systems, and compliance with safety regulations and building codes.
- Budgeting and Cost Management: Knowledge of budgeting practices related to maintenance operations, including controlling costs for materials, labor, and tools.
- Maintenance Software and Systems: Familiarity with property management software and maintenance management systems for tracking work orders and scheduling tasks.
- Leadership and Team Management: Strong leadership skills to effectively supervise and motivate maintenance staff, train team members, and manage a diverse team to ensure efficient operations.
- Project Management: Ability to plan, organize, and prioritize tasks and work orders to ensure timely and efficient completion of maintenance and repair projects.
- Time Management: Ability to manage multiple priorities, balance workloads, and ensure maintenance tasks and unit turnarounds are completed on schedule.
- Communication: Excellent verbal and written communication skills to interact with tenants, property management teams, and other stakeholders. Ability to clearly report to upper management regarding property conditions, work order statuses, and issues.
- Problem Solving and Decision-Making: Strong problem-solving skills to identify and address issues related to maintenance delays, work order discrepancies, and emergency repairs.
