Job Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, interacting with clients, ensuring smooth administrative processes, and enhancing overall office efficiency. This role is ideal for someone organized, proactive, and comfortable in a fast-paced professional environment.

Duties

  • Manage calendars and schedule appointments for team members, as needed.
  • Handle incoming calls and provide excellent phone etiquette while assisting clients.
  • Scan and upload client documents into internal systems such as Canopy.
  • Perform electronic filing and document organization.
  • Assist with client follow-up after tax preparation.
  • Maintain and organize both digital and physical files.
  • Assist with office management tasks to maintain a well-organized workspace.
  • Utilize QuickBooks for basic accounting tasks as needed.
  • Proofread documents for accuracy and clarity before distribution.
  • Assist other staff with general administrative duties as needed.
  • Support various administrative functions to ensure efficient office operations.

Experience

  • Previous experience in an administrative role is required.
  • Proficiency in calendar management and office management practices.
  • Familiarity with phone systems and excellent phone etiquette skills are essential.
  • Strong clerical skills with the ability to type efficiently and accurately.
  • Experience with QuickBooks is a plus but not required; willingness to learn is essential.
  • Experience with document management systems (e.g., Canopy) is a plus.
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office and general office technology.
  • Ability to multitask and work independently.
  • A proactive attitude towards problem-solving and multitasking in a fast-paced environment is highly valued.

Schedule

  • Part-time (flexible hours during business operations)
  • Potential to transition to full-time based on quality of work and performance.

Job Type: Part-time

Pay: $20.00 - $22.00 per hour

Expected hours: 25 per week
