Position Overview:
We are seeking a reliable and detail-oriented Administrative Assistant – Purchasing & Accounts Payable to support our purchasing and accounts payable departments. This administrative role will play a key part in ensuring accurate record-keeping, efficient communication with vendors, and smooth coordination between project managers and the accounting team.
The ideal candidate will have administrative experience, preferably in the construction or design industry, with a focus on organizational skills and data entry accuracy.
Key Responsibilities:
Administrative Support – Purchasing & Procurement
- Assist in the creation and management of purchase orders for construction materials, supplies, and equipment.
- Track delivery statuses and update project managers regarding any delays or issues.
- Maintain records of purchase orders and delivery confirmations.
- Help monitor inventory levels of project-specific materials stored in our warehouse prior to delivery to job sites.
- Communicate with suppliers and vendors to gather updates and ensure proper documentation is received.
Administrative Support – Accounts Payable
- Collect, review, and organize vendor and subcontractor invoices.
- Match invoices to purchase orders and highlight any discrepancies for resolution.
- Assist in preparing invoices for processing and ensure proper documentation.
- Maintain accurate digital and physical filing systems for purchasing and accounts payable records.
- Provide general administrative support to the accounting team.
Qualifications & Skills
- 1 years of administrative experience (experience in the construction or design industry preferred).
- Strong organizational and data entry skills with exceptional attention to detail.
- Familiarity with basic purchasing and accounts payable processes is a plus.
- Experience with Microsoft Office Suite (Excel, Word, Outlook).
- Ability to manage multiple tasks simultaneously in a fast-paced environment.
- Strong communication and problem-solving skills.
