Job Summary:
This position is responsible for managing the planning, development, implementation, administration, and budgeting of The Paralegal will play a key role in supporting company operations, compliance, and project administration. This position will assist the COO with various administrative, compliance, and project-related tasks to ensure efficiency and organization across the company. The ideal candidate is highly detail-oriented, proactive, and capable of managing multiple priorities. Experience in construction administration, compliance tracking, and legal coordination is preferred.
Essential Job Functions
Executive & Operations Support:
- Provide direct administrative support to the COO and CEO, managing schedules, meetings, and task lists.
- Screen and prioritize emails, calls, and correspondence for the COO, ensuring efficient communication.
- Assist in organizing and tracking project kickoff requirements and checklists.
- Maintain organized documentation and records for company-wide operational needs.
- Prepare executive reports, presentations, and meeting summaries as needed.
- Track monthly project management reports and assemble the final package for submission to the COO.
Project & Compliance Administration:
- Oversee Procore administration, including document management, user permissions, and system organization.
- Track and submit compliance reports related to Davis-Bacon and Section 3 requirements on a project-specific basis.
- Assist in tracking certified payroll reports and coordinating with subcontractors to ensure compliance.
- Work with project teams to prepare for Davis-Bacon/Section 3 audits or compliance check-ins.
- Manage subcontractor insurance compliance through an insurance tracking platform, ensuring all required documentation is up to date before subcontractors begin work on-site.
- Assist with subcontractor prequalification, ensuring required documentation is submitted and reviewed before approval.
- Support the COO in contract execution, tracking addendums/revisions, and ensuring all agreements are properly documented.
- Utilize DocuSign for contract execution and Adobe Acrobat for managing legal documents.
Office & Administrative Support:
- Handle mail distribution, check processing/mailing operations, and other routine office tasks.
- Maintain communication with project teams to ensure administrative requirements are met.
- Assist in vendor and subcontractor coordination, ensuring compliance with company policies.
- Assist with errands and other tasks as requested.
Meetings & Communication:
- Participate in administrative staff meetings and attend other executive meetings as requested.
- Communicate effectively with various stakeholders within the organization.
Qualifications & Skills:
- Preferred experience in construction administration, compliance tracking, or legal coordination.
- Strong organizational and multitasking abilities.
- Proficiency in Procore, Billy, DocuSign, Adobe Acrobat, and Microsoft Office Suite (Excel, Word, Outlook) preferred.
- Ability to manage compliance requirements related to Davis-Bacon, Section 3, certified payroll, and subcontractor insurance tracking.
- Excellent communication and problem-solving skills.
- Paralegal experience or familiarity with legal documentation is a plus.
- Exhibit extraordinary discretion, flexibility, and willingness to work closely with senior management.
Education, Knowledge & Skills:
- Bachelor’s degree in business, construction management, or a related field preferred.
- Paralegal experience preferred.
- Preferred experience in construction administration, compliance tracking, or legal coordination.
- Strong organizational and multitasking abilities.
- Proficiency in Procore, Billy, DocuSign, Adobe Acrobat, and Microsoft Office Suite preferred.
- Excellent communication and problem-solving skills.
