Position Summary:

Reports to: Director of Materials Management, Chief Financial Officer (CFO)

FLSA Status: Exempt

The Materials Management Coordinator supports the Director of Materials Management in overseeing the department’s operations to ensure efficiency, cost-effectiveness, and optimal resource utilization. This role is responsible for coordinating procurement, inventory control, and distribution processes while maintaining compliance with organizational policies and industry standards.

  • Establish and maintain vendor and supplier relationships
  • Maximize the use of the Materials Management Information System (MMIS) to track supply usage and streamline procurement
  • Analyze market conditions, review vendor materials, and interview suppliers to obtain product information
  • Evaluate and recommend new supplies and equipment
  • Oversee cyclical and year-end inventory processes
  • Ensure compliance with regulatory requirements, Joint Commission National Patient Safety Goals, and hospital policies
  • Maintain Environment of Care (EOC) standards, including emergency management, hazardous materials handling, life safety, fire safety, infection control, and security
  • Serve as a professional role model for colleagues, students, and medical staff
  • Apply problem-solving skills to resolve patient, family, and personnel issues within the department
  • Work competently with Paragon applications and reconcile pricing, quantity, and item discrepancies for non-storeroom orders
  • Process special purchase requests, scan and file documentation through GHX, and update the SMART item master as needed
  • Maintain, order, and stock clean supply areas according to schedules, checking for expired products
  • Update departmental SMART PARS with product changes, additions, and deletions
  • Monitor SMART backorder files, communicate with vendors on backorders, and manage product recalls
  • Assist with store room inventory and item retrieval as needed
  • Set up new items through VIRA and print charge labels for billable storeroom items
  • Ensure contract compliance and compile reports, including the Optiflex activity report
  • Maintain tissue/bone receiving logs and oversee stock item orders
  • Assist in delivering items and support the Director of Materials Management with new projects
  • Research and recommend cost-effective items for department managers, ensuring contract pricing and obtaining product samples
  • Issue and manage pagers, maintaining updated personnel lists
  • Approve and manage Staple orders for all departments and offsite facilities
  • Assist with year-end inventory for all supply areas
  • Answer telephone calls, direct inquiries, and take messages
  • Cross-train on all aspects of purchasing operations
  • Collaborate with co-workers, assist when needed, and communicate professionally with personnel, patients, visitors, and physicians

Minimum Qualifications:

  • High School Diploma or equivalent is required. Associate’s degree is preferred
  • Minimum 2 years of experience in materials handling or purchasing
  • Proficiency in operating personal computers and related software is required

  • Ability to maintain professional relationships with nursing staff, medical personnel, hospital administration, and all departments

Physical & Functional Demands:

  • Frequent walking, standing, and sitting throughout the day
  • Involves mental activity, problem-solving, and supervision
  • Essential talking and listening for instructing and managing personnel
  • Possible exposure to injury, infectious diseases, and hazardous material
  • Standing and walking for long periods, including hospital halls and outdoor areas
  • Lifting, carrying, and storing materials weighing up to 75 pounds
  • Frequent bending (45-90 degrees) for product retrieval and equipment operation
  • Regular reading and writing for job-related documentation and compliance
