Job Overview
North American Client Services, Inc. is seeking a motivated and detail-oriented Office Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong organizational skills, be proficient in data entry, and have a solid understanding of administrative tasks. As an Office Assistant, you will be responsible for supporting various functions within the office, contributing to overall efficiency and productivity.
Duties
- Perform data entry tasks accurately and efficiently.
- Manage clerical duties including filing, organizing documents, and maintaining records.
- Greet visitors at the front desk and provide excellent customer service.
- Handle calendar management, scheduling appointments, and coordinating meetings.
- Support administrative functions such as preparing reports and correspondence.
- Maintain a clean and organized office environment to promote productivity.
- Collaborate with team members to ensure seamless office operations.
- Answer, screen and forward incoming phone calls
- Maintain the supply cabinet and kitchen to make sure all supplies are fully stocked
- Mail UPS and USPA mail/packages. Distribute mail to each department
- Place breakfast/lunch orders and pick up breakfast/lunch orders
- Prepping conference rooms for meetings
- Cleaning conference rooms and kitchen daily
- Assist executives with administrative tasks, assignments and projects
- Contact vendors to report issues with equipment (such as paper shredder, fax/copy machines, etc.)
- Other duties as assigned
Experience
- 1 year previous experience in an office setting is preferred.
- Familiarity with data entry processes and clerical work is essential.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Computer literacy is necessary, including knowledge of Microsoft Office Suite.
- Excellent communication skills, both written and verbal, are required.
- A proactive attitude towards problem-solving and a willingness to learn new skills will be highly valued.
