Key Objective
The Operations Manager is responsible for overseeing all aspects of warehouse operations, ensuring optimal efficiency, safety, and security while maintaining high standards of service delivery. The Operations Manager will also ensure compliance with safety regulations, maintain site security, and manage key accounts while implementing best practices in warehouse management systems (WMS) and material handling equipment (MHE) maintenance.
DUTIES AND RESPONSIBILITIES:
1) Safety
- Develop and enforce safety policies and procedures to ensure a safe working environment for all employees.
- Ensure compliance with Occupational Safety and Health Administration (OSHA) standards and other regulatory requirements.
- Conduct regular safety audits, risk assessments, and emergency drills.
- Oversee training programs on workplace safety, hazardous material handling, and accident prevention.
- Investigate and report workplace incidents, ensuring corrective actions are implemented.
2) Site Security
- Implement and monitor security measures to protect warehouse assets, inventory, and personnel.
- Ensure proper functioning of surveillance systems, access controls, and alarm systems.
- Establish protocols for visitor and contractor access to the facility.
- Work with law enforcement and security teams in case of security breaches or theft incidents.
- Train staff on security best practices, including loss prevention strategies.
3) People Management
- Lead, mentor, and develop warehouse staff to foster a high-performance culture.
- Oversee workforce planning, including recruitment, training, and performance management.
- Ensure clear communication of roles, responsibilities, and expectations.
- Implement employee engagement programs to improve morale and retention.
- Address employee concerns, resolve conflicts, and enforce disciplinary procedures when necessary.
4) Account Management
- Ensure service level agreements (SLAs) and customer expectations are met or exceeded.
- Collaborate with sales and customer service teams to address client needs and resolve issues.
- Monitor account performance metrics and provide regular updates to stakeholders.
- Identify opportunities to expand business relationships and improve service offerings.
5) Warehouse Operations
- Oversee all warehouse functions, including receiving, storage, order fulfillment, and shipping.
- Ensure operational efficiency by optimizing warehouse layout and material flow.
- Implement lean warehouse management techniques to reduce waste and enhance productivity.
- Ensure compliance with industry best practices and regulatory requirements.
- Coordinate with transportation and logistics teams for efficient inbound and outbound shipments.
6) Tracking Productivity
- Define and track key performance indicators (KPIs) for warehouse operations.

- Utilize warehouse management systems (WMS) to generate real-time performance reports.
- Implement incentive programs to enhance staff productivity and efficiency.

7) Inventory Management
- Oversee inventory control processes to ensure accuracy and minimize discrepancies.
- Conduct regular cycle counts, stock audits, and reconciliations.
- Implement inventory management strategies to optimize stock levels and reduce carrying costs.
- Ensure adherence to FIFO (First-In-First-Out) inventory management principles.
- Collaborate with procurement and supply chain teams to align inventory with demand forecasts.
8) Building & Material Handling Equipment (MHE) Maintenance
- Ensure proper maintenance and upkeep of the warehouse facility, including infrastructure, lighting, and ventilation.
- Oversee the inspection and servicing of MHE, such as forklifts, conveyors, and pallet jacks.
- Develop maintenance schedules to prevent equipment failures and downtime.
- Ensure compliance with safety regulations for equipment operation and maintenance.
- Work with external vendors and maintenance teams for repairs and servicing.
9) Warehouse Management System (WMS)
- Oversee the implementation and optimization of WMS for inventory tracking and workflow automation.
- Train warehouse staff on WMS functionalities and ensure accurate data entry.
- Monitor system performance and troubleshoot technical issues.
- Ensure seamless integration of WMS with ERP and other business systems.
- Utilize WMS analytics to enhance warehouse efficiency and decision-making.
10) Continuous Improvement
- Drive operational excellence through the implementation of lean principles and process improvements.
- Identify bottlenecks and inefficiencies, developing solutions to optimize performance.
- Foster a culture of continuous improvement by encouraging employee suggestions and innovation.
- Implement automation and technology solutions to enhance warehouse operations.
11) Housekeeping
- Enforce strict housekeeping standards to maintain a clean and organized warehouse.
- Implement 5S principles (Sort, Set in Order, Shine, Standardize, Sustain) for workplace organization.
- Conduct regular inspections to ensure compliance with sanitation and hygiene standards.
- Schedule routine cleaning and waste disposal activities.
- Ensure warehouse staff adhere to housekeeping protocols to improve safety and efficiency.
12) P&L Management
- Oversee the financial performance of the warehouse, ensuring profitability and cost control.
- Monitor financial statements, identifying areas for cost savings and efficiency improvements.
- Analyze revenue streams and implement strategies to maximize profitability.
- Work closely with senior leadership to align financial goals with overall business strategy.
QUALIFICATIONS:
· High school diploma or equivalent.
· Bachelor’s degree in supply chain management, logistics, or a related field is a plus.
· 8 years of experience in warehouse management, logistics operations, or related field, with at least 3-5 years in a managerial or supervisory role.
· Experience in managing large-scale warehouse operations and complex supply chains.
· Strong leadership and people management skills.
· Proficiency in warehouse management systems (WMS) and inventory control software.
· Knowledge of OSHA and other safety regulations.
· Excellent problem-solving and decision-making abilities.
· Strong organizational and multitasking skills.
· Ability to analyze data and drive process improvements.
· Effective communication and interpersonal skills.
· Forklift certification or experience with material handling equipment required.
· Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and data analysis is a plus.
