Description of Work
This position is the first point of contact for criminal offenders reporting for their probation appointments. Position will provide clerical support to Chief Probation/Parole Officer(s) and the employees therein consisting primarily of Probation/Parole Officers.
The mission of Community Supervision is to protect the safety of citizens in communities throughout the state by providing viable alternatives and meaningful supervision to offenders on probation, parole, or post-release supervision. The primary goal of Community Supervision is to reach an equal balance of control and treatment for offenders that will positively affect their behavior and lifestyle patterns. Probation /parole officers protect the public safety by helping offenders learn to live within the law. They supervise offenders' activities in the community and ensure their compliance with court orders and sanctions.

This is a full-time position (40 hours per week) with benefits.
The salary grade for this position is NC02. State employees are encouraged to apply for positions of interest even if the salary grade is the same as or lower than their current position. If selected for this position, a new salary will be calculated taking into consideration the quantity of relevant education and experience, funding availability and internal equity. Based on these factors, a pay increase or decrease may result.
The primary duties of the Administrative Associate II are to:
- Monitor offender waiting areas
- Answer basic inquiries from offenders
- Direct offenders to the appropriate personnel
- Direct all incoming visitors via telephone or face-to-face
With limited instruction from supervisor, the Administrative Associate II will electronically compose the following using Microsoft Word, Excel and e-mail:
- Memoranda
- Letters
- Official court documents
- Investigatory reports
- Statistical reports
This position will proofread documents for spelling, grammar and punctuation, input and comprehend computer-generated data. Position will analyze, reconcile, and compile monthly reports with specified time frames to include but not limited to unit statistical reports, stamp logs, mileage logs, phone bills and copy machine reports. Position will receive and process mail and conduct an inventory of equipment.
- Must be able to effectively maintain files and records according to departmental policy to provide quick, easy access and retrieval of information.
- Must be able to effectively and accurately operate various office machines to include computer, calculator, fax, and copy machine.
- The Administrative Associate II will assist the District Administrative Specialist I when requested.
- Position holder must be able to learn software applications such as OPUS, or any other proprietary software needed to carry out the duties of the position.
Knowledge, Skills and Abilities / Competencies
Applicants must have the following documented experience described within the body of work experience on the application:
- Customer service
- Keeping records, writing reports, filing and maintaining documents or logs in hardcopy and electronic formats,
- Use of proper spelling, grammar, and punctuation.
- Use of MS Word and Outlook, and any commonly used internet browser,
- Working independently,
- Conveying information through written or verbal means to individuals or groups; this may include peers, co-workers, probationers, community members, or stakeholders
- Interpreting and carrying out instructions received verbally or in written form,
- Coordinating office work or office support activities
- Experience working in a position requiring confidentiality,
- Experience working in a legal, criminal justice, or court-related environment,
- Experience with the full suite of commonly used MS Office applications (Excel, Word, PowerPoint, SharePoint)
- Experience with OPUS, or any other proprietary software needed to carry out the duties of the position.
Minimum Education and Experience Requirements

DCS is also responsible for the supervision of offenders who transfer from other states through the Interstate Compact program and has oversight of the Community Service Work Program.
