SUMMARY OF DUTIES:

To satisfy customer requirements for the efficient disposition of cargo transiting through the General Cargo Terminal. Provide support for General Cargo Terminal Operations to ensure accurate and efficient movement of cargo.

DESCRIPTION OF WORK:

  • Communicate with customers (both internal and external), shipping agencies, trucking companies, Carolina Coastal Railway, and the U.S. Customs office concerning inventory at the port, tariff rates, storage charges, ship arrival/departure dates, customs clearance issues, vessel cargo releases, etc.
  • Prepare dock receipts daily for truck and rail pickups and deliveries
  • Check in and out all import and export trucks
  • Enter dock receipt information into Terminal Operating System for import and export cargo maintaining complete and accurate inventory balances and shipment documentation
  • Coordinate with Carolina Coastal Railway to properly position railcars for loading and unloading
  • Maintain customer files with updated addresses, phone numbers, and contact names for individual accounts
  • Maintain a list of trucking firms for business use, keeping all information current
  • Maintain the Terminal Operating System, including importation of manifest data as necessary, inventory locations, shipment entries, etc.
  • Update inventory locations as necessary, prepare discharge reports and tags for foreman on import cargo, and print reports for Billing and gather pertinent documentation for vessels and cargo received
  • Troubleshoot problems as they arise when port personnel are loading trucks or railcars with cargo, delivering information to the warehouses if necessary
  • Communicate between the customer and the port loading crew and maintain a close working relationship with the cargo handling personnel
  • Reconcile physical counts with computer inventory records as necessary
  • Provide data and reports to customers, e.g. dock receipts, shipment reports, physical inventory, OS&D, discharge reports, discrepancies, or inventory inquiries as requested
  • Provide data on shipments to the Billing Department as needed; advise Billing and Administration Departments when miscellaneous charges need to be billed
  • Complete daily and monthly reports in truck and rail movements as required, e.g. shipment statistics, turn times, tons per man hour, etc.
  • Work overtime as volume dictates to provide outstanding customer service
  • All other duties as assigned by management

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • High school diploma or equivalent is required
  • At least 1 year of office administration experience is required
  • Must have hands-on knowledge of computers, including prior experience in MS Word and Excel, along with the ability to learn in-house applications
  • Forklift operation experience is preferred, or willingness to learn and train
  • Excellent customer service skills and strong attention to detail are required
  • Ability to work independently or cooperatively with a team in a fast-paced office environment
  • Must have a valid driver’s license and meet TWIC security requirements

WORKING CONDITIONS/PHYSICAL EFFORT:

Much of the time will be spent in office working conditions in a climate-controlled environment. At times will be exposed to inclement weather, loud noises from machinery, be in proximity to machinery in operation, and fumes/odors from products that are handled on the port. May also include driving on the port and walking on concrete surfaces as well as bending/stooping when assisting with inventories. Normal lifting of up to 25 pounds as found in an office environment is required.
