The Assistant Registrar of Undergraduate Studies oversees all aspects of the undergraduate catalog and maintains undergraduate course and program information in Ellucian Colleague. Serves as the primary point of contact in the Office of the Registrar for undergraduate students, programs and graduation applicants. Responsible for the verification of NCAA athletic eligibility.

Description Of Key Responsibilities

  • Serve as primary editor for the North Central College undergraduate catalog. Coordinate the process by which academic departments can submit catalog changes, facilitate proofreading, and produce the adjusted copy in the Acalog system for online publication. Assist with editing the North Central College graduate catalog as needed.
  • Update and maintain the undergraduate degree audit system, including the creation, revision, and deletion of undergraduate degree programs, majors, minors and concentrations. Assist with graduate degree audit coding as needed.
  • Assist with the evaluation of transfer credits as needed to ensure timely credit equivalency information is provided to students.
  • Update and maintain the Colleague course database, including the creation, revision and deletion of courses. Assist with graduate course maintenance as needed.
  • Perform degree audits for undergraduate students who submit an application for graduation.
  • Maintain student-specific exceptions, overrides and waivers. Provide timely feedback regarding progress to degree and any remaining deficiencies, and meet with students as needed.
  • Apply course substitutions for undergraduate students. Collaborate with faculty on the applicability of substitutions.
  • Apply degree waivers for qualifying undergraduate students. Adjust degree waiver credit as necessary when course credit conflicts with waiver.
  • Evaluate transcripts from international colleges and universities.
  • Evaluate study abroad pre-travel course requests, assessing applicability of study abroad credit to specific major, minor and general education requirements. Apply credit earned abroad, ensuring applicability to approved requirements.
  • Verify NCAA athletic eligibility for various athletic teams throughout the academic year. Submit required paperwork and student record information to the Athletics Department and NCAA in a timely manner to ensure compliance with NCAA regulations.
  • Attend faculty curriculum committee meetings as appropriate, for such purposes as information exchange, coordination of activities, and development of plans, particularly as they relate to curriculum.
  • Interact with other academic and administrative offices, including Admissions, Student Success, the Associate Vice President for Academic Affairs and the academic Deans, to obtain information, resolve discrepancies, and advocate for policies that promote the academic development of students.
  • Assist with normal business operations such as registration, general petitions, and general policy questions, etc. on an as-needed basis.
  • Participate in the development and implementation of systems and procedures, which contribute to efficient and effective operations both within the Office of the Registrar and across the campus.
  • Support the College's mission, vision and values, and contribute to the advancement of the College's Strategic Plan.
  • Demonstrate a strong commitment to continuous quality improvement.

Required Knowledge, Skills And Abilities

The Assistant Registrar must be committed to a standard of excellence in customer service for all. Accurate, timely, and personable communication with students is an expectation, as is the ability to respond to questions from both internal and external constituencies of the College in a professional manner. Strong customer service encourages students to seek information when needed, supports their efforts to navigate college administrative processes, and helps foster their overall success.

  • Extensive knowledge of the organization and operation of a college or university, both administratively and academically, especially with regard to the Registrar's office.
  • Knowledge of student information systems, preferably Colleague, and specifically within the Registrar application.
  • Experience articulating college coursework for transfer credit and assessing a student's academic record for completion of program requirements.
  • Extensive data entry experience and an ability to consistently demonstrate accuracy and review their work for correction.
  • Knowledge of athletic eligibility rules and regulations.
  • Ability to consistently demonstrate excellent interpersonal skills in dealing with a wide variety of people, both on the telephone and in person. Ability to work effectively as a member of small staff where cooperation and teamwork are critical to success.
  • Ability to manage a variety of concurrent tasks, usually without direct supervision and to identify and prioritize projects appropriately to allow the smooth function of the office and the institution. This requires a person who is well organized and detail-oriented.
  • Ability to apply mathematical skills necessary for such tasks as converting data from transcripts issued by other institutions into North Central College format.
  • Ability to communicate in the English language, both orally and in writing, in a manner consistent with professional standards, including making oral presentations to groups.
  • Ability to efficiently use computer-based systems, particularly word-processing and databases.
  • Ability to prepare reports which are accurate, thorough, concise, and professionally formatted, including the application of mathematical skills necessary for compiling, summarizing and analyzing data.

Distinguishing Characteristics

The individual in this position is in frequent contact with a variety of members of the campus community, including students, faculty and staff. Effective interpersonal skills and an ability to maintain strict confidentiality in handling records and exercising good judgment in applying federal and institutional guidelines for handling of confidential information are essential.

The Assistant Registrar will be actively involved in the planning, development, and implementation of policies, procedures, and goals of the Office of the Registrar.

Education/Training

A bachelor's degree is required. A master's degree in higher education administration or related field is preferred.

Experience

Minimum three to five years progressive experience in a registrar's office or other relevant educational setting. Experience with Ellucian Colleague highly preferred (or comparable Student Information System-e.g., Banner, PeopleSoft, etc.) as is the ability to efficiently use computer-based systems, particularly word-processing and databases.

Annual Salary $45,000 - $53,000

The pay offered to the selected candidate will be determined based on factors including (but not limited to) the candidate's experience, qualifications, and training.
