GENERAL DESCRIPTION:
Under direct supervision of the Vice President of Advancement and Executive Director of the North Central Michigan College Foundation, this position provides a wide variety of administrative support for the office. This role acts as the point person for Foundation activities with a range of stakeholders, including college faculty and staff, donors, volunteers, and vendors.
DUTIES AND RESPONSIBILITIES:
- Conducts self in a professional manner with other employees, students, local community members, related representatives and visitors.
- Assists in a wide range of activities, exercising strict confidentiality and discretion; screens calls and visitors, represents the Foundation on routine administrative matters.
- Assists with scholarship tracking and stewardship efforts. This occurs twice a year for traditional scholarships and year-round for fast-track scholarships.
- Assists Annual Giving & Alumni Coordinator and Gift Officers as needed with donor cultivation and stewardship events which happen predominantly in the winter and summer. May act as the main department point of contact for special events, such as athletic VIP experiences, which occur during the academic/athletic season.
- Assist other foundation staff with donor database functions, such as adding actions, creating and updating records, etc. In time, grow to be the substitute ("back-up") team member for additional functions in the donor database.
- Greet visitors to the Foundation in a friendly and helpful manner. Ability to resolve telephone/walk-in inquiries and relay or transfer the telephone call/person to the appropriate office or department.
- Sort, screen, and distribute incoming and outgoing mail.
- Prepares and distributes all materials and records minutes for Foundation board meetings, and committee meetings, as requested.
- Maintains hard copy, electronic, and archived filing of appropriate donor and office files, records, and other documents.
- Process and track college funding requests, typically on a quarterly basis.
- Reviews and processes foundation invoices and monthly credit card statements for Executive Director's approval.
- Supports Executive Director with scheduling and administrative functions. Locate and schedule rooms for meetings or conferences which include contacting all participants, arranging schedules, ordering/arranging meals, preparing the room for use and appropriate clean-up after use.
- Orders and receives all office supplies and equipment; maintains and stocks supplies as needed.
- Perform a wide variety of word processing, spreadsheet, and presentation software assignments, which may be confidential, that require the use of a personal computer with various types of software programs to enter data, draft, edit, review, and print minutes, letters, tables, reports, and other material required of this position. Draft or prepare responses to routine inquiries with appropriate approvals and signatures then reply by fax, mail delivery, or e-mail.
- Image, index, update, and manage electronic files.
- Run errands in town (make purchases for the Foundation, pick up items for events, drop off items for the Foundation, etc.)
- Perform other directly related duties as assigned, including possible cross-training of functions typically performed by other team members.
MINIMUM QUALIFICATIONS:
- Some college, preferably in business, accounting, management, or applicable work experience in operations.
- Strong computer skills required plus the ability and willingness to learn new technologies and applications.
- Demonstrated proficiency with MS Office software products. Familiarity with CRM database(s) is a plus.
- Demonstrated initiative, able to organize work and handle multiple tasks to meet deadlines quickly and accurately.
- Attention to detail is essential.
- Adept at solving problems and maintaining your composure when doing so.
- Ability to be available for work during occasional long days, nights and weekends.
- Possess a high energy level with a desire to work in a team environment and promote the College in a professional and positive manner.
- The ability to be discreet and maintain confidentiality.
- Demonstrated ability to display empathy and positive regard for others in written, verbal and non-verbal communications.
