Position: Administrative Assistant

Minimum Salary: $45,156 - $56,492
The City of North College Hill Police Department is seeking applicants to fill a full-time Administrative Assistant position. This position will have a schedule of 40 hours per week, Monday through Friday, typically 8:00 a.m. – 4:30 p.m.

Job Purpose & Responsibilities:
Under the direct supervision of the Police Chief, the Administrative Assistant provides administrative support to the Police Administration by maintaining records, generating reports, managing projects and supplies, and assisting with the coordination of the department’s financial processes, including bill payments, budgeting, and payroll. The assistant also assists with other administrative tasks as assigned.
Example of Duties:
· Performs duties as assigned by the Police Chief and Police Administration;
· Answers telephone calls in a professional manner and provides information to the public concerning departmental and city operations;
· Maintains inventory of department supplies and submits orders as needed;
· Maintains payroll, billing, invoice, and expense records;
· Liaison between the department and Finance Department regarding payroll and billing;
· Maintains budget records for the Police Department and assists in the budget planning process;
· Ensures accurate documentation of employees’ work hours through the payroll system and processes payroll for approval by the Police Chief;
· Coordinates the department’s purchasing processes, reviews purchase requisitions while maintaining account funds creates and assures proper coding for each requisition, and completes all accounts payable;
· Compiles statistical reports needed for internal use or submission to outside agencies. Examples include patrol statistical reports, reports to BCI, college reports, NIBRS reports, and other reports assigned by the Police Administration;
· Maintain reports and records, such as Uniform Crime Reporting (UCR);
· Research and compile monthly and annual reports for the department;
· Assists with tracking and coordination of training requirements for certified peace officers;
· Other duties as assigned.
Qualifications:
The ideal candidate must possess a high school diploma or G.E.D. equivalent, a valid driver’s license in the state of residence, and be eighteen (18 ) years or older. Previous clerical experience is preferred, as well as a strong knowledge of Microsoft Office programs, including Outlook, Word, and Excel. This position requires a candidate who can maintain a steady but manageable workload and work effectively under pressure and deadlines. We are looking for a self-motivated, organized, and efficient person who can perform with minimal supervision. The nature of the work requires high attention to detail, confidentiality, excellent communication skills, and the ability to provide superb customer service.
Physical Requirements:
Must be able to sit for extended periods; to stand, walk, stoop, kneel, and crouch; and to lift, carry, and move up to thirty (30) pounds.
