JOB TITLE: Medical Records and Clerical Support
LOCATION: Kalkaska
REPORTS TO: Administrative Services Manager
STATUS: Full Time, Non-Exempt, Union
HYBRID ELIGIBLE: Yes
STARTING WAGE RANGE: $17.54 to $18.42

JOB SUMMARY: The Medical Records and Clerical Support staff provides support to the medical records department on an ongoing basis and is also the designated “floating” clinical secretary for North Country Community Mental Health (NCCMH) clinics in three or more counties on an as-needed basis.
JOB SPECIFICATIONS:
Education: High school diploma with college credits or certifications in office administration and/or health information management, preferred.
Experience: Two years of experience working in a medical records and/or clerical position, preferably in a medical or behavioral health care field.
Other: Lived experiences with behavioral health issues are valued.
ESSENTIAL FUNCTIONS:
  • Processes incoming and outgoing client records and correspondence under the direction of the Medical Records Specialist.
  • Provides in-person secretarial coverage at clinics when dedicated clerical staff are off, as directed by the Administrative Services Manager. Requires travel between counties using company fleet vehicles, when available.
  • Facilitates the exchange of medical record information via the Electronic Health Record (EHR) ensuring requests are processed in a timely manner.
  • Ensures records are uploaded and maintained in the EHR in a standard format and in the designated section.
  • Maintains a strong knowledge of and compliance with rules governing protected health information including, HIPAA Privacy laws, 42 C.F.R., part 2, HITECH, Michigan Mental Health Code, MDHHS Administrative Rules, MDHHS/PIHP contracts, guardianships, DPOA’s, subpoenas, CPS/APS, etc.
  • Schedules client appointments and makes appointment reminder calls, when necessary.
  • Reviews the clinic voicemail and automated appointment notifications and makes appropriate changes to clinical staff schedules.
  • Welcomes all visitors to North Country Community Mental Health (NCCMH), notifies appropriate staff when their clients arrive and monitors the waiting room for client check-ins.
  • Assists recipients with customer service and recipient complaints, and the grievances and appeals process.
  • Verifies insurance coverage for new clients and subsequently monitors changes.
  • Provides immediate support and guidance for crisis calls, ensuring that callers are connected with appropriate crisis intervention services or therapists as needed.
  • Other duties as assigned by the Administrative Services Manager.
PHYSICAL REQUIREMENTS: Ability to walk, bend, stand, sit, lift up to 25 pounds with or without assistance, stretch/reach, hear, see, hand/finger dexterity and drive a vehicle. Position requires physical ability to complete and maintain certification in CPI techniques which will be a training class provided to the job incumbent.   • Ability to maintain good relations with external providers and constructively represent NCCMH in the community.
  • Must be able to complete and remain current in initial and ongoing training requirements.
  • Have own smartphone for communication, reliable access to messages, and multi-factoring capabilities.
  • Have reliable transportation in carrying out duties. Use of personal vehicle for NCCMH business may be required when company vehicles are not available.
  • Possess a valid Michigan driver’s license and have a satisfactory driving record.
  • Ability to work within guidelines of the code of conduct, regulatory compliance plan, and personnel policies.
  • Supports a philosophy of service delivery that is recovery-based, person centered, and culturally competent.
  • Adherence to the Board’s personnel policies, procedures, and standards.
