Position Statement
The administrative and financial executive assistant is responsible for providing high-level administrative support to the Chief Operating Officer - managing their calendar, handling confidential information, coordinating meetings, preparing reports, and acting as a liaison between the COO and internal/external stakeholders, often requiring a strong understanding of financial terminology and procedures to effectively assist with complex tasks.
Key Responsibilities:
- Manages schedules, calendars, and incoming calls.
- Coordinates meetings and conferences, reserves and prepares meeting rooms, equipment, and catering.
- Develops and sends agendas, takes and distributes meeting minutes.
- Arranges travel accommodations, itineraries and registrations for visitors and or COO.
- Receives, processes and ensures prompt payment of reimbursement for expenses and invoices.
- Coordination of schedules between executive assistants to ensure all duties and daily responsibilities are covered.
- Liaison between agency and leaders to facilitate locums and travelers as needed.
- Assists COO with a variety of financial work, building and maintaining spreadsheets and financial reports.
- Helps support COO with budgets, financial variances, statistics, and analysis as requested.
- Serves as a point of confidentiality for all of administration.
Knowledge, Skills and Abilities:
- Post-secondary education/training in business/administration/management and three years experiences in a senior level executive assistant position or equivalent training and experience
- Working knowledge and ability to use Excel a must
- Excellent organizational ability to effectively handle multiple tasks requiring a high degree of attention to detail
- Professional written and verbal communication, analytical, and interpersonal skills.
- Experience with modem office practices, procedures, and equipment, including file management, office automation, and telephone techniques and etiquette.
- Ability to write reports and transcribe minutes concisely and accurately, using correct grammar, spelling, and punctuation.
- Professional demeanor and ability to exercise discretion, tact, and confidentiality.
- Knowledge of contemporary business writing practices including the ability to proofread, select and apply standard references.
