We are seeking an Administrative Assistant with excellent communication and interpersonal skills, strong problem-solving abilities, exceptional organizational skills, and a solid work ethic to join the dynamic and innovative Business, Marketing and Information Division.
As an Administrative Assistant, you will provide administrative support to the Business, Marketing and Information Division and the Department, while managing phone calls, greeting and assisting visitors. If you're ready to make an impact, and enjoy helping others, this role is a great fit for you!
Key responsibilities include:
- Be the initial contact greeting visitors and managing phone calls.
- Assist with a diverse range of tasks and projects, demonstrating flexibility and initiative.
- Collate and distribute mail, handling daily deposits, and ordering office supplies.
- Serve as the records retention and forms management coordinator.
- Offer clear communication and collaboration with diverse programs and events for the Department including Ag in the Classroom, Agricultural Products Utilization Commission, Agriculture Diversification and Development Fund, Specialty Crop Program, Pride of Dakota and the Animal Health Division.
- Disseminating documents such as division reports, program manuals, spreadsheets, forms, and meeting minutes and agendas.
- Collaborate with companies seeking to export goods from the U.S. to issue a certificate of free sale.
- Coordinating travel and logistics. Arrange travel, accommodations, and itineraries for the Business, Marketing, and Information Division.
- Oversee the management of the state fleet vehicles for the division.
- Maintain office organization and order, handle administrative duties diligently.
This role provides support to the Commissioner in collaboration with the Business, Marketing, and Information Division. Due to the need for significant on-site presence, the position is located in Bismarck at the State Capitol building.
Minimum Qualifications:
- Associate degree in business or a closely related field and three years of professional work experience in an administrative assistant role; or
- A combination of education and administrative assistant work experience that demonstrates equivalent knowledge, skills, and abilities.
- Strong problem-solving and collaboration skills are key to success in this role

- Leverage your expertise in Microsoft Office Suite to streamline tasks and enhance productivity.

- Solid experience in data entry, ensuring accuracy and timely completion.
