JOB DESCRIPTION – Administrative Assistant
POSITION TITLE: Elementary Administrative Assistant YEAR: 2025-2026
REPORTS TO: Building Principal WORK DAYS: 203 days
JOB DESCRIPTION:
Administrative Assistant serves as secretary to the principal for the Elementary office; duties associated with a school office.
ESSENTIAL JOB FUNCTIONS:
- Maintains respect at all times for confidential information.
- Receives telephone calls and makes proper disposition of such.
- Acts as clerk-custodian of all school activity accounts, maintains ledgers and necessary record books. Prepares and delivers bank deposits.
- Prepares memos, correspondence, and so forth.
- Prepares and maintains an adequate filing system
- Arranges appointments for the principal and other school staff.
- Maintains an accurate daily electronic/written pupil attendance record as well as understanding the auditing process.
- Prepares various reports as requested by the principal.
- Sorts and distributes incoming and/or daily mail.
- Counts and distributes materials to be sent home with the students.
- Performs required machine duplicating work.
- Maintains adequate and accurate inventories of items owned by the board of education.
- Prepares purchase orders and disposition of same.
- Assists in administering first aid and distributes medication to students in the absence of school nurse.
OTHER DUTIES AND RESPONSIBILITIES:
- Serves as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings;
- Helps instill in students the belief in and practice of ethical principles and democratic values; and
- Conducts any and all other duties related to the administrative assistant’s duties as assigned by the building principal and/or superintendent not listed in this job description.
WORKING ENVIRONMENT/CONDITIONS:
- This position works in a variety of settings including classrooms and outdoors and may experience heat or cold extremes as well as fumes, odors, dust; noise level moderate to loud.

QUALIFICATIONS:
- Valid driver’s license
- High degree of proficiency in office procedures, word processing (MS Word and Google Doc), spreadsheets (MS Excel and Google Sheets).
- Professional tact, diplomacy, and presentation with administrators, staff, teachers, students, parents, and the community.
- Proven record in being able to follow detailed policy and procedures.
- Good health, high moral character, and good attendance record.
