Medical Front Desk Specialist
We are seeking a dedicated and detail-oriented Front Desk Specialist to join our team. The ideal candidate will be responsible for providing exceptional customer service while managing front desk operations. The Medical Front Desk Specialist is the first point of contact for patients and visitors at our medical facility. This role is essential in ensuring a welcoming and efficient experience for all patients while managing administrative tasks and supporting the healthcare team.
This role requires proficiency in health information management, office management, and familiarity with phone systems. The Front Desk Specialist will play a crucial role in ensuring a smooth patient experience by handling inquiries, scheduling appointments, and maintaining accurate documentation in compliance with HIPAA regulations.
Key Responsibilities to include:
Patient Interaction:
- Greet patients and visitors warmly and assist them with check-in and check-out processes.
- Answer phone calls promptly, providing information and scheduling appointments as needed.
- Must be able to create a new patient chart, verify insurance, schedule consult, and receive required documents from outside providers prior to consult (All medical records such as: CT scan, ultrasound, xray, etc.)
Appointment Management:
- Schedule, reschedule, and confirm patient appointments using our electronic health record (EHR) system: Athenahealth EMR
- Ensure accurate patient data entry and maintain organized appointment calendars.
Administrative Duties:
- Manage patient records, including faxing, filing, scanning, and updating information in the EHR.
- Handle insurance verification and process patient payments and billing inquiries.
- Medical coding for elective patient surgeries and insurance authorizations
- Contact patients to schedule consultation on inbound referrals received to office
- Chart prep for upcoming appointment consults/surgical procedures
Communication:
- Serve as a liaison between patients, medical staff, and insurance companies.
- Address patient concerns and provide information about services and procedures.
Front-Office Management:
- Maintain a clean and organized front desk and waiting area.
Requirements
Qualifications:
- High school diploma or equivalent; additional education in healthcare administration is a plus.
- Previous experience in a medical office or healthcare setting preferred.
- Proficient in using EHR systems and standard office software (e.g., Microsoft Office).
- Strong communication and interpersonal skills.
- Ability to multitask and work in a fast-paced environment.
- Detail-oriented with excellent organizational skills.
Working Conditions:
- Primarily seated at a front desk in a medical office environment.
- May involve occasional overtime or weekend shifts based on office needs.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
