We are seeking a highly organized and experienced Office Assistant to join our team. The Administrative Assistant is responsible for various administrative functions for the branch office. This position reports to the Business Manager.
Responsibilities
- As housing coordinator office assistant you will be assisting with the responsibility of the coordination of all housing coordinators and clients, making sure all services are being rendered per DHS guidelines
- You will be assisting with the responsibility of the training of all staff
- Assesses clients needs and explains services, processes, procedures and guidelines
- Handles requests or directs the person or matter to the proper sources
- Assists in resolving problems and ensuring satisfactory customer service
- Collecting and calculating Timesheets
- Uses a personal computer and a variety of office software applications including word processing, email, and file management
- Prepares documents in Word from scratch or using predefined templates and form letters
- Creates or maintains files in Excel
- Operates other office equipment such as printers, copy machines, fax machines
- May serve as liaison with service and vendor personnel
- Performs research and data-gathering activities and may prepare reports or summaries of information
- Prepares or maintains reports or records and other statistical or quantitative data
- May serve as receiver of mail, date and put on Supervisor’s desk
- Files documents
- May assist in handling personnel or payroll functions
- May provide administrative support or assistance in certain defined areas to the supervisor or other personnel in the office
- Cross-training between departments
- Keep all information confidential per HIPPA rules and regulations
- Responsibility to go greet a new client and do the intake of new clients
- Follow-up calls to new clients
- Schedule interviews for hiring managers with selected candidates
- May assist with any and all office functions
- Positions in this classification may perform all or some of the functions above and other related duties as assigned
QUALIFICATIONS
- Minimum of a high school diploma. Two years experience working in a related field (i.e. health care, business administration, education) preferred.
- Excellent written and oral communication skills with customers and employees.
- Excellent time management skills and ability to multi-task and prioritize work; ability to work independently with minimal supervision.
- Maintains professionalism, attention to detail and problem solving skills.
- Strong computer skills and the ability to learn new software; knowledge of Word and Excel a plus
- Pass initial and ongoing background studies and screenings with DHS
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
Schedule:
- 8 hour shift
- Monday to Friday
- No nights
- No weekends
