Continuing Education Operations Support Specialist
CATEGORY/LEVEL: PSS/5
BASIC FUNCTION: Process, verify, and reconcile invoices accurately and in a timely manner. Enter and monitor program data and performance. Provide support to the Continuing Education Department and administrative support to the Dean.
START DATE: ASAP
SALARY AND BENEFITS: Starting salary of $35,000 to $41,100 based on experience. Benefits package includes Blue Cross/Blue Shield major medical health insurance; eye care, dental, life and disability insurance; paid vacation and sick leave; a choice of IPERS or TIAA retirement plans, and a variety of additional optional benefits.
REQUIRED QUALIFICATIONS: Minimum two years of specialized postsecondary education required.
PREFERRED QUALIFICATIONS: Additional two years of related work experience is preferred.
RESPONSIBILITIES AND DUTIES:
• Process, verify, and reconcile invoices related to Continuing Education programs.
• Facilitate payroll process for instructors to ensure timely payment.
• Enter data for tracking purposes for the 260E, 260F, and WTED programs.
• Provide administrative support for the Dean of Continuing Education.
• Assist with scheduling meetings, preparing documents, and managing communication.
• Assist with the coordination, preparation, and organization of the promotions for the Continuing Education Department.
• Maintain accurate records and databases related to program operations and financial transactions.
• Maintain and update records in the Customer Relationship Management (CRM) system.
• Work closely with other departments to ensure exceptional program delivery.
• Assist with registrations for Continuing Education programs.
• Order and maintain office supply inventory.
• Provide excellent customer service to internal and external stakeholders.
• Maintain strong organizational skills, demonstrate reliability, and communicate effectively with stakeholders. Fulfill other responsibilities as needed or assigned.
Perform in a manner which strengthens the coordination and cooperation of all organizational components of the College, including opportunities for student recruitment.
