BASIC FUNCTION: This position processes gifts, manages the receipting and acknowledgement process, and assists with the maintenance of the Institutional Advancement database and reports. This position also maintains confidential advancement records, conducts database queries, produces mailing lists, coordinates data entry processes, manages department mailings, and provides support for the Institutional Advancement team. Serves as primary support to the Foundation Board of Directors.

REQUIRED QUALIFICATIONS: High school diploma or equivalency required. Experience with Microsoft Office is essential. The successful candidate will possess the ability to work independently as well as in a team setting. Excellent oral and written communication skills, high degree of diplomacy and confidentiality are required. Ability to work with interruptions and demonstrate well-developed organizational skills and attention to detail while remaining within targeted fixed deadlines. Occasional evening and minimal weekend work required to meet the needs of the Foundation Board and special fundraising events.
PREFERRED QUALIFICATIONS: Minimum of two years of specialized education beyond high school or a minimum of five years applicable work experience.
RESPONSIBILITIES AND DUTIES:
- Serve as the first point of contact and oversee daily operations.
- Provide administrative and clerical support for Institutional Advancement.
- Enter donor gifts into database and provide donor gift correspondence.
- Maintain the Institutional Advancement files, records, and database utilizing its systems/programs.
- Assist and support the NIACC Foundation and Alumni Association with preparation of board and committee meetings and events (including agendas, board minutes and other correspondence).
- Provide Institutional Advancement team with queries, reports, and lists from database and information to assist in fundraising and friend-raising efforts.
- Provide administrative and clerical support of associated committees involving fundraising and friend-raising efforts.
- Coordinate and oversee tasks assigned to work-study and/or volunteers.
- Be a friend-raiser for NIACC through effective communication with various public entities and constituencies.
- Maintain strong organizational skills, demonstrate reliability, and communicate effectively with stakeholders. Fulfill other responsibilities as needed or assigned.
