With seven hospitals, more than 60 clinics, four long-term care facilities, state-of-the-art women’s and behavioral health facilities and multiple outpatient care centers, we have a variety of career opportunities waiting for you. **JOB SUMMARY** The Executive Assistant at North Mississippi Health Services is responsible for orchestrating administrative activities to support the Vice President of Women's and Children's Services and the Director of Nursing. This role requires an experienced professional with strong organizational and communication skills to manage communications and schedule coordination, maintain documentation and records, generate reporting and presentation materials, assist with routine processes, and oversee lounge areas to ensure all services remain available to support effective executive role execution.
**JOB** **FUNCTIONS** Administrative Duties: * Prepares and coordinates meetings and activities of Vice President, Women & Children’s Services and Director of Nursing. * Provides administrative assistance as needed for Vice President, Director of Nursing, other managers and physician section leaders. * Processes payroll for Administration routinely and other departments as requested and maintains attendance records for Administration. * Coordinates Medical Staff Meetings such as section meetings, etc. * Produces reports, records, documents, presentations and minutes as requested. * Assists the Vice President and Director of Nursing of Women and Children’s Service during the Excel process as needed. * Assists Vice President, Director of Nursing and other managers in the service line with budget preparation as needed to include entry into the Budget Manager system. * Provides daily oversight to physician lounge area at Women’s Hospital to assure food services, laundry services, IT services, etc. are available as needed. * Orders and procures supplies from routine to capital purchases. * Submits invoices for payment with proper departmental coding. * Assists in grant submissions to the Foundation for reimbursement to NMMC. * Maintains service line email communication list and sends communications as directed by Vice President of Director of Nursing.

**Knowledge Skills and Abilities**
* Good oral and written communication skills; required * Computer literacy in word processing, graphics, organizational charts, and spread sheet programs; required * Exhibits time management and prioritization. * Keeps information confidential. * Coordinates office procedures for an effective and efficient workflow. * Selects and/or makes recommendations for purchase of supplies and office equipment. * Implements policies and procedures as established by NMMC and Women & Children’s Services. * Schedules all meetings held for Chief Information Officer, Chief Medical Informatics Officer, and Chief Information Security Officer in conference rooms, and orders meals for appropriate meetings. * Keeps the Vice President and Director Nursing informed staff issues and concerns, and any changes that are going on within Service Line, NMMC or NMHS that they may otherwise not have been made aware. * Remains aware of facility issues and report to the proper department for repair or update. * Receives all visitors and callers to Women’s Hospital Administration with a friendly and helpful manner. * Interacts daily with NMHS Senior Management, Medical Staff, service line administrators and service line managers, other managers, Medical Center staff, attorneys, and Vendors. * Promotes the Mission, Vision, and Values of the organization through NMHS’ Critical Success Factors (People, Service, Quality, Financial, and Growth).
