Overview
We are seeking a highly organized and detail-oriented Secretarial Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by providing administrative assistance, managing office tasks, and ensuring smooth communication within the organization. This position requires a proactive individual who can handle multiple responsibilities efficiently while maintaining a professional demeanor.

Responsibilities

  • Provide administrative support to executives and team members, including scheduling appointments and managing calendars.
  • Maintain organized filing systems, both physical and digital, to ensure easy access to information.
  • Assist with bookkeeping tasks using dealer software and manage basic office finances.
  • Handle incoming calls and correspondence, directing inquiries to the appropriate personnel.
  • Prepare documents, reports, and presentations using Google Suite and other software tools.
  • Proofread documents for accuracy and clarity before distribution.
  • Manage office supplies inventory and place orders as needed to ensure adequate stock levels.

Skills

  • Proficiency in QuickBooks for basic accounting tasks is preferred.
  • Strong computer literacy with experience in Google Suite applications (Docs, Sheets, Slides).
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Attention to detail for proofreading documents and ensuring accuracy in all communications.
  • Previous experience in office management or as a personal assistant is advantageous.
  • Strong typing skills with the ability to produce high-quality documents quickly.
  • Experience as a dental receptionist is beneficial but not mandatory.
