Qualifications
About the Role: Office Professional:
The North Range Behavioral Health Office Support staff members are located at all North Range Behavioral Health sites and are typically the first line of contact for consumers. We focus on providing first-rate customer service to consumers and other stakeholders who enter our system.
The Office Professional supports day-to-day operations by performing administrative tasks and ensuring high-quality customer service for clients and customers. The Office Specialist performs under limited supervision several administrative support tasks varying from basic to complex, with discretionary authority. The specialist independently makes decisions that substantially impact operations within the designated program and administratively handles comprehensive office operations.
Key Responsibilities:
- Welcomes visitors and clients at the front desk of the assigned program; screens, directs, and responds to incoming calls and inquiries with a high level of customer service.
- Act as liaison between providers, clients, and visitors; coordinate information between individuals, departments and/or outside agencies as directed; assist with problem resolution as required.
- Assist in contacting customers to obtain information to solve problems, errors, or complaints.
- Handle sensitive information with care and maintain confidentiality according to organizational standards.
- Support established administrative procedures; interpret and apply organization policies to work area; make recommendations to establish or reverse policies, systems, methods, and procedures.
- Record and organize client medical records using an electronic health record system.
- Accurately maintain client appointment calendars; schedule appointments and prioritize backfilling cancellations.
- Provide switchboard relief/coverage for others when necessary, including at other agency sites.
- Explain processes and procedures, forms, requirement changes, and fees to customers.
- Demonstrate fiscal responsibility by supporting the agency collection policies and procedures; assure client understanding of service charges and fee changes. May work proactively with payor sources to ensure payment of services and/or request authorization before provision of services.
- Calculate variable fees for customer services based on a sliding fee scale dependent on established rules and/or guidelines.
- Research, compile, develop, analyze, and integrate statistical data and prepare related reports and correspondence; perform difficult research for special projects as assigned by supervisor.
- Receive hard copy and/or electronic documents; maintain records and/or inventory systems; perform routine record keeping; compile, research, process, and purge information and/or documents according to established rules and procedures.
- Operate standard business equipment (i.e., photocopier, fax, scanner, etc.) and other associated office machines; process incoming and outgoing mail as directed.
- Maintain the upkeep of waiting areas, mailrooms, and other office space; report safety issues and needed equipment repair to supervisor.
- Assist with scheduling meetings and coordinating room arrangements for special functions (i.e., meetings, trainings, presentations, etc.).
- Perform typing or word processing to complete assignments such as correspondence, agendas, minutes, and instructional materials; edit documents for accuracy, make necessary corrections, and distribute as needed; complete accurate and timely data entry in various systems.
- Assist supervisor and/or unit management team, as needed, with special projects and reporting needs (i.e. presentations, correspondence, and summary reports; compose or generate correspondence, memos, etc.; proofread and edit documentation to ensure accuracy of content; compile and format program material content such as annual reports.
- Assist the supervisor, as requested, in training other support staff in specific duties, processes, and procedures related to the assigned program.
Qualifications:
- High School Diploma or GED is required.
- Bilingual Skills preferred and highly desired
Experience:
- 1 year experience in an administrative support position, 2-5 years of experience is preferred.
- Related experience in a medical office is preferred.
