Overview
A veterinary CSR (Client Service Representative), also known as a veterinary receptionist, is the primary point of contact for clients at a veterinary hospital, responsible for greeting clients and their pets, scheduling appointments, managing phone calls, handling administrative tasks, and providing basic information about veterinary services while ensuring a positive client experience; essentially acting as the face of the practice and maintaining smooth communication between clients and the veterinary team.
Client interaction:
- Greeting clients and their pets warmly upon arrival.
- Answering phone calls promptly and professionally, addressing client inquiries and concerns.
- Scheduling appointments and managing appointment calendars.
- Checking clients in and out, including updating patient records and collecting payment.
Administrative tasks:
- Managing client and patient data in the electronic medical records system.
- Preparing patient files and necessary paperwork.
- Processing prescription refills and pet food orders.
- Sending reminder calls and appointment confirmations
- Handling insurance verification and billing procedures
Client education:
- Providing basic information about veterinary services, treatment plans, and costs.
- Explaining preventative care protocols and vaccination schedules.
- Answering questions about pet health and behavior
Communication and coordination:
- Relaying important information between clients, veterinarians, and veterinary technicians.
- Communicating with clients regarding emergencies or urgent situations.
- Coordinating with the veterinary team to ensure smooth patient flow
