Role :
Responsible for managing all aspects of the credit union's facilities including building maintenance, building
improvements and renovations, grounds maintenance, new building construction and maintenance of building
equipment. The Facilities Manager will work in conjunction with branch managers in the communities served to
ensure facilities and grounds are well maintained and reflect a positive image in the communities we serve.
Essential Functions & Responsibilities :
E 25% Determine building maintenance needs and select the contracted services needed. Ensure the
lighting, heating, plumbing, air conditioning and ventilation systems are operating properly.
Maintain accurate records of equipment functioning status and other systems in buildings. Ensure
compliance with applicable building codes, fire and emergency codes, regulatory and other
required regulations.
E 20% Manage and oversee all aspects of building projects and maintenance work undertaken on the
premises, including acting as a point of contact and liaison with building contractors. Where
external contractors are employed, monitor work, ensure contractor responsiveness, and certify
that work has been done satisfactorily. Manage, supervise and coordinate contractor work for all
third party vendors (plumbing, electrical, HVAC, general contractors, etc.).
E 10% Monitor and ensure contractor compliance for Credit Union contracts including but not limited
to : building, remodel, landscape, janitorial, HVAC, carpet, elevator and snow removal. Review
and maintain all facility maintenance contracts and agreements and ensure terms and conditions
are met.
E 10% Communicates with managers regarding needed maintenance and repair of facilities; schedules
visits with managers to performed scheduled maintenance and repair.
E 10% Plan, budget and schedule facility modifications and renovations, including estimates on
equipment, labor materials and other related costs. Plan the need and feasibility and participate in
the design of minor additions, modifications and alterations to existing facilities and equipment.
Procure, review and compare quotes for necessary contracted work.
Develop and adhere to annual budget for buildings and facilities maintenance.
E 5% Responds to telephone and / or texts from staff for emergency assistance.
E 5% Works with Branch Managers to ensure the standards of building cleanliness and well-maintained grounds are maintained. Set routine schedule of work for cleaning of facilities and
grounds maintenance to ensure consistently high standards of cleanliness, upkeep, and safety of
all buildings and premises. Oversee the upkeep and maintenance of the facilities’ grounds and landscaping.
Ensures adequate inventory of maintenance equipment and supplies used in all buildings.
E 5% Handle the purchase and maintenance of company vehicles. Working with managers in
designated branch locations, schedule preventative maintenance to ensure vehicles are well
maintained and in good operating order.
E 5% Respond to, and resolve problems or complaints raised in a systematic and professional manner
with follow-up as needed.
N 5% Performs other duties as assigned.
Performance Measurements :
1. Consistently follows The North Star Way Service Competencies and Service Standards.
2. Develop and maintain a productive working relationship with credit union staff and co-workers.
3. Maintain current knowledge of contracts and ensure department maintains compliance with all applicable
federal and state regulations.
4. Maintain adequate inventory to enable continuous day to day operations while staying within approved
budget.
5. Develop recommendations for cost efficiencies and enhancements to supplies, products, pricing, and
processes by monitoring industry trends.
6. Minimal unplanned absences and tardiness.
Knowledge and Skills :
Experience Five years to eight years of similar or related experience.
Education (1) A two-year college degree, or (2) completion of a specialized certification or licensing,
or (3) completion of specialized training courses conducted by vendors, or (4) job-specific
skills acquired through an apprenticeship program.
Interpersonal Skills Work involves much personal contact with others inside and / or outside the organization for
the purpose of first-level conflict resolution, building relationships, and soliciting
cooperation. Discussions involve a higher degree of confidentiality and discretion,
requiring diplomacy and tact in communication.
