What are the responsibilities and job description for the Receptionist position at North Star Insurance Advisors LLC?
Our fast-paced office is seeking a part-time, highly motivated receptionist to join our team. The receptionist ensures prompt and genuine greetings to every client or visitor that calls or comes into our office. Exceptional communication, organizational, and multi-tasking skills are essential as well as proficiency in Microsoft Office. The receptionist will oversee giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones, taking messages, and sorting and distributing mail.
Key Deliverables:
1. Has a positive attitude and provides courteous, friendly service to all internal team members and external customers, by responding promptly and efficiently to inquiries and requests.
2. Greet and welcome guests as soon as they arrive at the office.
3. Direct visitors to the appropriate person and office.
4. Answer, screen, and forward incoming phone calls.
5. Ensure reception area is tidy and presentable.
6. Provide basic and accurate information in-person and via phone/email.
7. Receive, sort, and distribute daily mail/deliveries.
8. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
9. Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
10. Protects company assets and confidential information in accordance with company policies and procedures. Including, but not limited to, team members, sales agents, customers, vendors, and insurance partners proprietary company information.
11. Other duties may vary based on current needs.

Work Environment:
This job operates in a professional office environment with prolonged periods of sitting at a desk and working on a computer. The role routinely uses office equipment such as computers, copiers, and phones.
Physical Demands:
The physical demands described here are representative of those that must be met by a team member to successfully perform the essential functions of this job. While performing the duties of this job, the team member is regularly required to sit and/or stand for long periods of time, communicate verbally and in writing as well as operate a variety of computer programs, e.g. Zoom, excel, etc.
Position Type / Expected Hours of Work:
This is a part-time position with an expected schedule of 7:45am-12:30pm Monday- Friday. Additional hours may be discussed based on business needs.
No travel Required.
Required Education and Experience:
1. High school degree: additional certification in Office Management is a plus.
2. Superior PC skills e.g., Word, Excel, PowerPoint, and MS Outlook.
3. Proven work experience as a receptionist, or similar role.
