POSITION SUMMARY:
We are seeking a highly organized and client-focused 401(k) Plan Practice Coordinator to support our financial advisory practice. This role requires excellent customer service and communication skills, the ability to prioritize in a fast-paced environment, and the professionalism to handle sensitive client information with care. You will work closely with plan sponsors, participants, and third-party providers to ensure the smooth administration of retirement plans while assisting financial advisors with plan reviews, education, and client relationship management.
KEY RESPONSIBILITIES:
Client Relationship Management:
- Serve as the main point of contact for plan sponsors and participants, responding to inquiries regarding plan features, account balances, contributions, distributions, and investments in a timely and professional manner.
- Build and maintain strong relationships by exceeding expectations through proactive follow-up and support.
- Collaborate with financial advisors to deliver seamless client experience.
Participant Support:
- Assist participants with enrollment, investment allocation changes, loan requests, withdrawals, and beneficiary updates.
- Assist with participant education meetings to explain plan benefits, investment options, and retirement planning strategies.
Plan Administration Assistance:
- Monitor deadlines for Simple IRA, 401(k), Solo(k), and other retirement plans, ensuring compliance with plan provisions and regulations.
- Assist plan sponsors with meeting deadlines and interpreting communications from third-party administrators (TPAs) and recordkeepers.
- Manage contributions, allocations, and reconciliations while maintaining compliance with retirement plan rules.
- Provide administrative support, including scheduling plan reviews, participant education meetings, and preparing meeting materials.
Financial Advisor Support:
- Assist advisors with organizing client reviews, preparing presentations, and tracking client service needs.
- Maintain a high level of organization to support efficient office operations, including scheduling office events and maintaining confidentiality with client information.
- Stay updated on industry changes and retirement plan regulations to ensure advisors and clients remain compliant.
Customer Service Excellence:
- Handle internal and external customer requests in a timely and professional manner, with follow-up to exceed expectations.
- Approach challenges with a positive attitude and demonstrate teamwork and adaptability in a fast-paced environment.
QUALIFICATIONS:
- Bachelor’s degree in finance, Business Administration, or a related field preferred; equivalent work experience will be considered.
Experience:
- 1–3 years of experience in retirement plan servicing, client relationship management, or financial services field is a plus.
- Background knowledge in accounting, bookkeeping, payroll, benefits, retirement accounts, business operations, or administrative support is highly advantageous.
- Familiarity with financial licensing or certifications is a plus.
Skills:
- Exceptional customer service and communication skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Proficient with Microsoft Word, Excel, PowerPoint, Outlook, and CRM platforms (e.g. Redtail).
- Strong organizational skills, attention to detail, and the ability to handle confidential information with care.
- Ability to learn quickly and adapt to an evolving industry.
Certifications (Preferred but not required):
- ASPPA’s QKA (Qualified 401(k) Administrator), or related credential, or willing to obtain this certification.
- FINRA Series 6 or 7 securities license is a plus.
