Administrative Technician
Section 1 – Position Summary

This position is responsible for performing advanced administrative duties and work assignments of a broad nature, which requires experience and the ability to perform under minimal supervision and to maintain confidentiality. Requires strong organizational skills, interpersonal skills, project coordination and ability to work across multiple levels of management and staff. Accuracy and attention to detail are essential. This work involves administrative support to assist in the efficient operation of multiple locations and support of multiple managers.

Section 2 – Major Responsibilities
1. Provides staff assistance to higher level management staff; participates on multiple employee work groups; prepares staff reports and other correspondence as appropriate and necessary. Provides administrative support to the Assistant Deputy-Water, Water System Manager, Water Operations Technical Support Manager, Water Transmission System Manager, and Water Operations Personnel in Wylie, Bonham, Tawakoni, Leonard, and East Fork Wetlands.
2. Plans, coordinates and evaluates activities associated with assigned contracts; participates in the evaluation of proposed contractual obligations and agreements, and administrations; monitors compliance with applicable contractual agreements.
3. Prepare and coordinate chemical contract specifications, bids and administration of the chemical contracts and expenditures.
4. Responsible for the processing and distribution of State and Federal compliance reports and correspondence with regulatory agency and consultants.
5. Assist in the preparation of departmental budgets including operating and maintenance expenditures, prepares financial reports and forecast. Processes invoices; enters purchase requisitions; maintains departmental expenditures tracking records.
6. Processes timesheets for plant operations staff on a biweekly basis.
7. Prepares correspondence, memoranda, spreadsheets, forms and general administrative duties.
8. Responsible for tracking schedules and deadlines. Assists in maintaining timely schedules and provides reminder of commitments.
9. Responsible for storing and maintaining the physical department files NTMWD is required by regulation to retain.
10. Maintains accurate historical records by capturing records into the records management system.
11. Performs various other general clerical duties as assigned.

Section 3 – Knowledge, Skills & Abilities
1. Must possess a high school diploma or GED, Bachelor's degree preferred.
2. Minimum of five years progressively responsible administrative experience; or an equivalent combination of education, training, and experience.
3. Requires typing at a minimum of 60 wpm and effective oral and written communication skills, as well as basic mathematical calculations.
4. Requires the ability to calculate, compute, summate, and/or tabulate data and/or information.
5. Position requires ability to organize data using Microsoft Word, Excel, PowerPoint and other software applications.
6. Possess good time management and organizational skills.
7. Requires a valid Texas Drivers License.
Section 4 – Environmental Factors, Activity Levels and Equipment.

This position requires minimum physical exertion with daily lifting requirements up to 10 pounds. Significant finger dexterity required. Activities may include carrying office materials, pulling and pushing file drawers and organizing paperwork. Duties are almost always carried out in an office environment. Equipment utilized includes a Network Computer System and/or a personal computer, various printers, calculators, copier and telephone. Must be able to drive a District vehicle.
