Information Systems Assistant
Section 1 - Position Summary
The lnformation Systems Assistant - Fleet is responsible for maintaining fleet records, databases and systems to ensure efficient operations. This includes working with fleet asset data and fleet locations, fleet inventories, fuel data, and fleet department records. The lnformation Systems Assistant must have an aptitude for administering information in associated applications such as FASTER, FuelView, Incode, vehicle camera systems and telematics reporting packages.
Section 2 - Major Responsibilities
1. Input, maintain and distribute information using the FASTER Fleet lnformation System and lncode financial systems, and other fleet management software.
2. Administer the District Motor Pool System, including data entry and reporting
3. Assist in the management of the Motor Pool Fleet reservation system, ensuring accurate and efficient operations.
4. Assist with information related applications such as Fuelview, and Networkfleet.
5. Provide training and technical support for fleet information systems to end users.
6. Coordinate the resources for escalated issues using the FASTER system.
7. Operate District vehicles for tasks such as motor pool functions GPS checks, parts runs, and vehicle transfers between vendors, District locations and other sites.
8. Cleans and fuels fleet vehicles as part of operations support responsibilities.
9. Monitor and ensure the accuracy of required documentation, including regulatory compliance, financial records, maintenance logs, and key performance indicator reports.
10. Coordinate with supervisors on system needs and optimized functionality
11. Actively participate in team meetings and proactively provide input and suggestions for process improvement.
12. Carry out other duties as may be assigned or requested
Section 3 - Knowledge, Skills & Abilities
1. Enthusiastic, motivated self-starter; quick learner; ability to work well as an individual and as a team; excellent planning and organization skills to deal with fast-paced environment; detail orientated with excellent problem-solving skills.
2. Excellent verbal and written communication skills.
3. Must be proficient using standard word-processing, spreadsheet and database programs.
4. Must be familiar with data entry and understand the importance of data integrity.
5. Must accept and work to establish procedures, produce required documentation and ensure important details are not overlooked.
6. Must be able to communicate effectively with others.
7. Must maintain a sufficient level of knowledge of operating systems and widely used fleet application software to provide the appropriate levels of training, operation and support.
Section 4 - Education and Experience
1. Requires a high school diploma or G.E.D.
2. Requires a valid Texas Driver's License.
Section 5 - Environmental Factors, Activity Levels and Equipment
This position requires minimum physical exertion with daily lifting requirements up to 10 pounds. Significant finger dexterity required. Activities may include carrying office materials, pulling and pushing file drawers and organizing paperwork. Duties are typically carried out in an office environment, with occasional outdoor duties. Equipment utilized includes a Network Computer System and/or a personal computer, various printers, calculators, copier and telephone.
Duties and responsibilities are performed indoors and outdoors Light exposure to dirt, dust, pollen, odors, wetness, humidity, rain, temperature and noise extremes, machinery, moving mechanical parts, vibrations, traffic hazards, and water hazards are common.
