Summary
The Public Affairs Coordinator provides direct project and administrative support to the Public Affairs Department Director and Managers as well as providing advanced agent-level service to support NTTA’s commercial and fleet customers and serves as a brand ambassador for regional promotional events.
Collaborates with the Public Affairs Director, Assistant Director, and Department Managers who directly manage contracts with vendors, and assists in setting annual and monthly budgets, tracking and reporting on expenditures within Public Affairs’ allotted budget. The Public Affairs Coordinator is responsible for alerting department staff to actual and prospective budget adjustments necessary for the Public Affairs Department to comply with contractual requirements and meet department goals. The Public Affairs Coordinator will create and prepare reports on a set schedule to keep the department’s budget stakeholders up to date on available funds for programs.
The Public Affairs Coordinator also provides active account management services for NTTA’s commercial and fleet customers, work that involves validating license plate inventory on pre- and post-paid accounts, assisting customers in managing pre-paid account balances, reconciling payments, and troubleshooting technical issues (e.g. data sharing and automated processed) for these commercial and fleet customers. This position will train department personnel on how to actively manage pre- and post-paid accounts of this type.

- Starting Pay: $19.30/hr.***
- Provides direction in creating annual budgets, tracking departmental program expenditures, aligning expenditures with departmental contractual requirements, and syncing expenditures with the department’s key performance indicators and other reportable metrics.
- Assists in setting annual and monthly budgets, tracks and reports on expenditures within Public Affairs’ allotted budget on a weekly basis to ensure compliance.
- Monitors expenditures and notifies department staff to actual and prospective budget adjustments necessary for PA to comply with contractual requirements and meet department goals.
- Creates and prepares reports on a set schedule to keep the department’s budget stakeholders up to date on available funds for programs.
- Coordinates the preparation and submission of regularly scheduled information such as payroll, budgets, requisitions, contracts and purchase orders, and assists with or coordinates special projects.
- Supports department initiatives requiring administrative support such as coordinating staff meetings and external events, calendar planning, processing travel expenses, supporting Account Management Services promotional activities, creating and editing PowerPoint presentations needed to support NTTA’s executives and other leadership, processing and tracking invoices, posting payments, and keeping a current record of department budget balances.
- Assists with ensuring departmental compliance with NTTA’s procurement, contract administration, accounting, and accounts payable standard operating procedures.
- Perform commercial, fleet, leasing company, auto dealership, and other assigned categories of account management service duties, including assisting these customers with billing questions, requests for service, adjustments to payment methods, researching customer information, processing payments, resolution of disputes, and other commercial and fleet account services.
- Staff single and multi-day NTTA-sponsored promotional events hosted by regional civic organizations, including booth/table set up and tear down, customer engagement, promotion of the TollTag and TollPerks, and providing customer service at the event.
Minimum:
- Associate’s degree or equivalent.
- Three to five years of directly related administrative experience.
- Strong attention to detail and communication skills, with the ability to engage customers in an effort to convert to sales.
- Strong critical thinking skills to identify errors, program overruns, alert department leadership to prospective deficits or cost-savings in contract administration.
- Ability to physically handle standing at events and performing event set up and tear down.
- Ability to work independently while managing high work volume and handle multiple changing priorities simultaneously.
- Valid driver’s license.
- A bachelor’s degree in business administration, accounting, or a related field.
- Fluent in Spanish – verbal, written, reading and comprehension.
