What are the responsibilities and job description for the Payroll Specialist position at North Valley Services?
A. PURPOSE OF THE POSITION:
· Ensuring employees are paid accurately and on time by managing all aspects of the payroll process, including processing paychecks, calculating taxes and deductions, and maintaining accurate records while adhering to relevant labor laws and regulations.
B. PRIMARY SCHEDULE:
· Monday-Friday 8:00am-4:30 pm with a 30-minute off duty lunch. Days and hours may vary and include evenings, and weekends, as needed.
C. SUPERVISION RECEIVED:
· Works under the direction and supervision of the CFO.
D. SUPERVISION EXERCISED:
· None at this time
E. QUALIFICATIONS:
· Proven experience working as a payroll clerk in a fast-paced organization.
· 5 or more years of payroll experience.
· Experience with payroll accrual accounting process
· Demonstrates advanced computer skills and a strong grasp of technology
Intermediate MS Excel skills required: Pivot tables, advanced formulas (TRANSPOSE, VLOOKUP, IF etc.)
· Exhibits a high level of accuracy and attention to detail in data entry.
· Strong clerical, administrative, and general office skills.
· Possess strong organizational and time-management skills.
· Current California driver’s license, with an acceptable DMV printout and insurability history.
· Ability to pass a DOJ criminal background check.
· Ability to pass CPR and First Aid courses.
F. DUTIES AND RESPONSIBILITIES:
· Process payroll and payroll corrections for over 260 employees, ensuring accuracy and timeliness.
· Review employee time keeping records, make corrections if errors are found in the timekeeping system before processing payroll.
· Import time keeping records from timekeeping system into NetSuite for payroll processing.
· Monthly accrual journal entry.
· End of month payroll reconciliation.
· Calculate and manage garnishments which may include child support, tax levies, student loans, WRIT of garnishments, etc.
· Coordinate with HR department to maintain accurate employee records.
· Manage employee payroll direct deposit bank details and prenotes.
· Generate payroll reports.
· Reconciled and audited vacation, sick and personal leave accruals.
· Manage timekeeping system rules and settings.
· Train employees on organizations' timekeeping systems.
· Organize and maintain filing system for all necessary payroll documentation.
· Respond promptly to inquiries from employees regarding their paychecks or deductions.
· Research, analyze, and resolve employee questions or concerns regarding pay discrepancies.
· Prepare year-end tax documents for employees, including W-2 forms.
· Participate in payroll audits.
· Conduct audits of payroll data to ensure compliance with company policies and applicable laws.
· Handle special projects related to payroll improvement assigned by management.
· Preserve employee confidence and protect payroll operations by keeping information confidential.
· Maintain knowledge of current government regulations affecting payroll processing.
· Remain current on applicable state and federal laws and applicable wage and hour laws.
