Administrative Support:
Job Summary: The Administrative Assistant provides essential support to the operations of our church. This role involves a combination of administrative, clerical, and communication duties to ensure smooth day-to-day functioning and effective coordination between the church and preschool activities.
Key Responsibilities:
- Manage phone calls, emails, and in-person inquiries, providing courteous and professional assistance.
- Schedule and coordinate appointments, meetings, and events.
- Maintain and organize church records, files, and databases.
- Prepare and distribute church bulletins, newsletters, and other communication materials.
Clerical Duties:
- Perform general office duties such as filing, photocopying, scanning, and faxing documents.
- Order and maintain inventory of office supplies and equipment.
- Process incoming and outgoing mail, ensuring timely distribution.
Financial Assistance:
- Assist with basic bookkeeping tasks, including tracking donations, year-end giving statements, and maintaining financial records.
- Prepare and handle deposits, invoices, and receipts.
Event Coordination:
- Assist in facilitating church events, including fundraisers, community outreach programs, and special services.
- Assist as needed with coordination of event logistics, including venue setup, catering, and volunteer management.
Communication and Outreach:
- Serve as a point of contact for church members and community members, providing information and assistance as needed.
- Update and maintain the church and preschool websites, online giving/payment portal and social media accounts.
- Foster positive relationships with church members, volunteers, and the local community.
- Be the “face” of Northampton Presbyterian Church during office hours, answering the door and maintaining a welcoming presence to those entering and leaving the building.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience in an administrative or clerical role, preferably in a church or educational setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of office equipment. Willing to learn additional software as needed.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Friendly and professional demeanor with strong interpersonal skills.
- Ability to work independently and as part of a team.
- Flexibility to work occasional evenings or weekends for special events.
Physical Requirements:
- Ability to sit for extended periods.
- Occasional lifting of up to 20 pounds.
- Ability to move freely within the office and church premises.
