POSITION: Benefits Specialist
DEPARTMENT: Human Resources
DIVISION: Finance
STATUS: Full-Time, Non- Exempt, Monday through Friday, 35 hours a week, 8:30 a.m. to 4:30 p.m.
Salary information: $25 to $30 per hour
GENERAL DESCRIPTION: Providing a collaborative customer service approach to meeting the human resource needs of the College’s employees, managers, and the administration; the HR Benefits Specialist assists with the day-to-day operations of the Human Resources Department with a specific concentration and responsibility in managing the administration of all employee benefits of the College.
SPECIFIC RESPONSIBILITIES:
1. Administer the various employee benefits programs, such as group health, dental and vision, accident and disability, life insurance, flexible spending accounts, health savings accounts, and 403(b) retirement plan.
2. Conduct new hire benefits orientations and assist employees with enrolling in their benefits using the ADP Workforce Now HRIS self-enrollment system.
3. Enroll employees with insurance carriers and process qualifying event life status changes.
4. Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in ADP Workforce Now for payroll deduction.
5. Respond to inquiries from employees on plan provisions, enrollments, status changes and other general benefits inquiries.
6. Audit the accuracy of the monthly premium statements for all group insurance policies, resolve discrepancies with the insurance carrier representatives, and pull reports and draft check requisition for payment.
7. Assist the Director in coordinating functions related to managing the College’s annual open enrollment.
8. Assist the Director with the administration of the college’s TIAA retirement plan to include but not limited to, process new hire TIAA retirement enrollments, notify employees of their college match eligibility, process salary reduction agreements with Payroll, and distribute the monthly communication of TIAA webinars.
9. Draft and distribute COBRA paperwork and cancel benefits (as applicable) with insurance carrier(s).
10. Manage and process claims for employees on leave for FMLA, Paid Family Leave, Worker’s Compensation and/ or Short-Term Disability. Prepare applicable paperwork and communicate with employees, insurance carriers, supervisors, and Payroll Department, as needed.
11. Review and respond to unemployment claims with appropriate documentation. Review quarterly unemployment statements and upload statements to Payroll/ Accounting for processing.
12. Assist the Director with completing benefits compliance reporting requirements.
13. Assist in the preparation of requested reports for internal and external stakeholders.
14. Provide administrative support to the Human Resources Department, to include, but not limited to: answering the telephone, sorting and prioritizing mail, composing and sending various correspondence, processing check requisitions and purchase orders, and screening and responding to incoming requests and inquiries in a timely manner.
15. Serve as an Administrator for the Everfi Vector Solutions learning management system. Responsible for setting up employee accounts, notifying employees when mandatory training is due, and tracking completion.
16. As Chair of the Employee Development Committee, lead and manage the activities of this committee to include membership solicitation, scheduling meetings, creating meeting agendas, collaborating with committee members, and executing employee development initiatives as assigned and/or approved by senior management.
17. Assist with the planning and coordinating of employee appreciation events, and other HR special events.
18. Assist with various HR related projects and programs as needed.
19. All other duties as assigned by the Director.
QUALIFICATIONS: Associate’s degree in human resources or related field required, bachelor’s degree preferred. However, experience and/ or other training/ certification may be substituted for education. 1 - 3 years of experience in HR and/or benefits administration required, 3 – 5 years of experience preferred. Other requirements include proficiency in Microsoft Office 365, strong attention to detail, excellent organizational, communication, and interpersonal skills, ability to exercise professional judgment, adapt quickly to change, and work within a collaborative decision-making environment. Must be able to hold a high level of confidentiality.
